Enhancing Media and Accessibility Using Panopto

<Tagline>Updated media guidelines for Blackboard to begin this summer</Tagline>

As part of our ongoing efforts to improve the digital learning environment and support accessibility, all media content must be hosted in Panopto rather than Blackboard as of May 23, 2024, starting with the summer term. Media content includes video, web conference recordings, audio clips, etc. Existing media should be migrated to Panopto as soon as possible, and new media can no longer be uploaded to Blackboard.

Blackboard is a useful system for course management and content delivery. However, it is not designed to perform as a media streaming service. DoIT introduced Panopto in 2018 to support video and media distribution following the discontinuation of TechSmith Relay. Media platforms like Panopto provide a better experience for faculty and students alike.

Optimize Media Streaming: Panopto and other media streaming platforms offer streaming capabilities that adjust to the bandwidth of each viewer, ensuring that all students, regardless of their internet speed, can access the content smoothly and without interruption.

Accessibility: Videos on streaming platforms provide more accessibility options including machine-generated captioning, adjustable playback speeds, notetaking, chapter breaks, searchable video, and transcripts.

Scalability: Media streaming platforms like Panopto can handle a wide range of large media files without impacting the Blackboard course quota. Video, for example, can be reused across multiple courses and terms or shared externally with non-UMBC viewers.

Video platforms, including Panopto, also offer tools for lecture capture, editing, quizzing, and student content creation for video assignments.

Options for Media Hosting

Instructional Technology offers extensive guides, training and support to faculty. Instructors can export (course content) and/or archive (course content & student data) their courses. You should also download a copy of your gradebook. We recommend saving these files to UMBC's cloud storage to ensure long-term access in the event you change computer systems.

Can I restore (regain access to) only course content?

Yes. Course content consists of files and course structure (menu, folders, etc.). Faculty can only import course content to an existing Blackboard course shell. Please submit a RT request for assistance importing an exported course file.

Can I restore course data?

Course data consists of student submissions, discussions, and grades. We generally prefer not to restore full courses to avoid reinstating user accounts and confusing students with old content. If you must restore archived course data, please open an RT ticket with justification included.

How long will you keep the retired courses?

We will keep the retired courses for approximately 2 years after Blackboard archives the courses.
Fall 24 Blackboard Courses to Use Ultra by Default

<Tagline>However, faculty can still use Original upon request</Tagline>

In consultation with the Deans as well as the Faculty Senate Computer Policy Committee (CPC), DoIT will make Ultra the default version of Blackboard for all Fall 2024 course shells that are auto-created and auto-enrolled before every semester. However, faculty who still wish to “roll back” their Ultra shells to Original, can do so by using this Request Tracker (RT) form before the 1st day of classes on August 28, 2024.

Why is DoIT Doing This?

Currently, unless a course is part of a department’s, school’s or college’s switch to Ultra, Original is the default version of all auto-created Bb course shells, and faculty who wish to use Ultra must convert the course to Ultra themselves before using it. However, with nearly 70 percent of all UMBC courses using Ultra now, DoIT feels the change in default course shell version is justified, and supports the broader plan to complete the Ultra migration by the end of Fall 2024. In addition, 50 percent of Blackboard’s clients are now using Ultra, there is little to no new development or fixes of Original, and it is expected that Anthology (the company that bought Blackboard in 2021) will announce the end of life for Original sooner than later.

“I know we’ve been migrating to Ultra for several years now, due in part to the maturing product but also the ‘all hands on deck’ support the pandemic pivot to online learning required,” says John Fritz, Associate VP, Instructional Technology. “I want to personally thank all faculty for their patience, those who’ve been using Ultra already and now won’t have to manually convert their courses from our Original template, but also those still waiting for the right time to switch. As we head into our last semester supporting both versions, I want to assure all faculty that DoIT is ready, willing and able to help in whatever way we can. Yes, we’ll make Ultra the default for Fall 24, but if you intend to use Original, please just let us know as soon as possible by completing our ‘roll back’ request form in RT.”

What Does This Mean for Me?

If you are using Ultra now, your Fall 2024 course shells will be auto-created with Ultra. Since you do not have to convert anything, you can get started right away with Ultra

However, to also help faculty not yet using Ultra, Bb course shells listed in the Schedule of Classes (SOC) will be auto-created by May 15, 2024, without student enrollments. This helps for a few reasons:

Faculty not yet using Ultra can start with a new shell for Fall 2024, a practice DoIT recommends when using it for the first time. Early access to your course provides more than 12 weeks of prep time before the semester begins.

Faculty can also review their Fall 2023 Original courses that DoIT converted to Ultra before the start of that semester (DoIT notified these faculty by myUMBC personal post).

When Do Students Get Enrolled?

Students will be added to your Fall courses by Friday, August 2, when auto-enrollments initiate. Enrollments will continue to pass from PeopleSoft to Blackboard as students add/drop and refresh completely overnight. As always, faculty also still control availability of the course to students.

How Can I Use Original?

If faculty wish to “roll back” their Fall 2024 Ultra shells to Original, they can do so by RT ticket. DoIT strongly recommends faculty request a roll back before the first day of classes to ensure sufficient time for course preparation. For example, the following conditions apply:

If a roll back is requested in August, it will require a complete refresh of the course enrollment which takes up to 24 hours to process.

Since a roll back requires deletion and recreation of a course in Blackboard, we will not roll back a course if there is learner activity (e.g., grades, assessment submissions, discussions) to preserve this critical data.

Courses will not be rolled back to Original after September 11, 2024, the last day to add/drop a course.

The rollback request option does not apply to CAHSS courses as CAHSS agreed to migrate all courses by the start of Fall 2024.

Training and Support
Again, DoIT recommends starting fresh in Ultra to take full advantage of the platform's new features and design capabilities as this approach allows for copying content from Original or rebuilding courses from the ground up to ensure an optimal experience for both faculty and students.

DoIT will provide weekly Ultra “office hour” consults, including one evening a week and one Saturday a month to support adjuncts throughout the Summer and Fall 2024 terms.

Instructional Technology offers an 8-step migration guide with resources and checklist that can be printed and checked as faculty prepare to migrate from Original to Ultra. Departments can schedule customized training, including evening sessions for adjuncts or dedicated sessions for teaching assistants, teaching fellows, and grad assistants. Recordings are also available.

Although UMBC has offered Ultra since 2019, faculty who have not yet migrated have identified time to learn a new system as the primary variable in their deferment. Despite these constraints, continued feedback from UMBC faculty points to readiness to engage with Ultra with ongoing support from Instructional Technology when aligned with their time availability.
4 Reasons to Use Copy Content to Prepare an Ultra Course

<Tagline>Choose an easy path to Ultra course readiness</Tagline>

It’s the start of a new semester and you open Blackboard to discover a new Ultra course. As you look over your course materials, gathered and perfected over years of teaching, the thought of transferring all these resources into a new format may feel overwhelming -- but there's good news! Blackboard Ultra's course copy feature is designed to make this transition as smooth and straightforward as possible, ensuring that you can focus more on teaching and less on the technical setup.

Let's explore how this powerful tool can be your ally in effortlessly moving your entire course, or even just selecting materials, into the Ultra environment.

Image 1: Example of the Course Copy tool in an Ultra course

Why Choose Course Copy?

The course copy function is the preferred method for migrating any content between Blackboard courses, whether Ultra to Ultra or Original to Ultra.

Simplicity and Convenience: Course copy can be performed directly within your Ultra course, requiring no intermediate steps such as file downloads and uploads. This direct approach reduces the risk of errors and simplifies the process.

Immediate Access: Once copied, materials are immediately available for editing and use in the Ultra course. There is no waiting period, as is often the case with the processing of exported course packages.

Reduced Technical Load: By not having to deal with export files, you avoid potential technical issues such as file compatibility or corruption. This straightforward method means that even those with minimal technical expertise can successfully transition their courses.

Focus on Teaching, Not Technology: Our goal is for you to focus on what you do best -- teaching. The course copy feature supports this by minimizing the time spent on course administration, allowing you to dedicate more time to student interaction and instructional innovation.

The Advantages of Course Copy Over Export/Import Methods

The course copy feature in Blackboard Ultra is designed to alleviate the complexities typically associated with digital transitions. This tool allows faculty to migrate content in many ways, some exclusive to Ultra.

Copying an Entire Course: This approach is ideal if you wish to transfer all your course content at once. It saves significant time and effort, as it eliminates the need to recreate or manually transfer each component of your course. This method ensures that the structure and integrity of your original course are maintained, providing a familiar environment for both you and your students in Ultra.

Copying Individual Course Items: Sometimes, you may find that only certain materials need to be moved to a new course. Ultra allows for the selective copying of items such assignments, tests, and specific content sections -- even a single item! This flexibility is crucial for tailoring your course without the necessity of transferring irrelevant or outdated materials.

Image 2: Example of selecting specific content types from a course.

Copying Content From Multiple Sources: Ultra’s course copy tools allow you to copy content from one or more courses at the same time -- whether that content is an entire folder or individual pieces of content. You can even choose to copy content from an organization.

Copy Content Contextually: The course copy tools are not limited to a holistic approach. Wherever the purple plus sign appears -- top, bottom, middle, even within a folder or learning module -- you can copy content into your course and it will be placed exactly where you want it to go. This is an enormously powerful way to customize the design and organization of your course.

Image 3: Click the purple plus on your Content Outline to copy content exactly where you want it.

In some circumstances, transferring course content might involve exporting from one course and then importing a zip file to the new course -- for example, bringing content from another institution (whether it used Blackboard or another LMS) or bringing content saved after courses are archived. However, since the import function is now disabled in our Blackboard environment, faculty who may need to import a content package from Original or another learning management system should open an RT ticket for support.

Important Notes About Course Copy

While we highly recommend the flexibility you have with the Ultra course copy tool, there are a few important details to know before using it so you can plan your pathway.

You always start in your new Ultra course and PULL content into it from other courses.

You can copy all content or choose to copy only discussions, question banks, rubrics, grade schemes, and/or announcements. Select a specific category and choose individual items. Do you only need one or two announcements or a few question banks from different courses? The course copy tool will help you do it!

Copied content is generally passed over in a hidden state to ensure you have a chance to review and revise before students can see it. Tip: Remember to make content "visible to students" or adjust release conditions once you have reviewed or updated it.

By default, Ultra courses support up to three levels of hierarchy to enhance the student learning experience. For example, a folder within a folder within a learning module is an example of three levels. However, when content you choose to copy is deeper than three levels, Ultra will flatten the organization and move the content to the lowest supported level. No content is deleted.

Student data is not included when you copy a course. This includes grades, assessments, discussions, messages, etc.

Check on the status of your course copy by viewing the Course Tasks and Logs, available from the More Options menu next to the search tool. Course copies are queued in order of when they are requested by faculty. If there is high demand, your copy may take a little longer. Running the process again will produce duplicate content so it’s better to wait.

Occasionally, the course copy tool may produce an error about progress tracking. Faculty can ignore this error since progress tracking is available by default in all Ultra courses.

The course copy function in Blackboard Ultra represents a seamless and efficient way to move your teaching materials into Ultra, ensuring that you can spend more time teaching and less time managing course logistics.

Connect with Instructional Technology

As always, if you have any questions about teaching, learning, and technology at UMBC, please consider the following options:

Check our extensive FAQ collection

What's new in Ultra? | Known Issues

Open a ticket via RT

Follow the Instructional Technology & DoIT myUMBC groups

Request a consult with instructional technology staff

PIVOT | Academic Continuity | Keep On Teaching | Student Technology Resources

Thumbnail-image: Ultra Quick Tips

Learning Analytics Mini Grants CFP Due 6/7/24

<Tagline>Prior LA workshops may help inform proposals</Tagline>

UMBC’s Division of Information Technology (DoIT), in partnership with the Office of the Provost, is pleased to announce the call for proposals for the 2024 Learning Analytics (LA) Mini Grants. This initiative aims to encourage, identify, and exchange effective practices to enhance student success and retention.

The mini grants are specifically designed to address two key areas of focus:

Student Success and Retention: The grants welcome proposals that explore the relationships between activities and learning in one course and outcomes in other courses. By investigating these connections, instructors can gain insights into strategies that can improve student success and retention rates. This research is particularly crucial for courses with low success rates, critical progression points, or those imparting fundamental skills required for success in the major or program.

Faculty Development and Support: Recipients of the mini grants will receive a $2,000 professional development award, renewable annually, directed to their faculty member or department's PeopleSoft chart string account. In addition to access to warehouse data (REX), recipients will also receive support for Tableau, a powerful data visualization tool. Furthermore, participants will be expected to present a report at the conclusion of their project, and they will have the opportunity to engage with the LA Community of Practice. These grants also provide an opportunity for recipients to use their results to compete for the prestigious Hrabowski Innovation Fund award.

In addition to learning from prior awardees, the LA Mini Grants build upon the university's commitment to utilizing data-informed insights to improve student outcomes. In line with this objective, the Provost’s office, in collaboration with DoIT's Analytics & Instructional Technology groups, has been organizing workshops on supporting student success throughout the academic year. These workshops, illustrated by our 2024 lineup below, have covered various topics faculty may want to explore further in their mini-grant proposals:

Toward a New Paradigm: Learning Analytics 2.0 (9/29/23)

Predicting transfer student 4-year graduation (10/26/23)

How Does Ungraded Student Practice Correlate to Exam Scores? (2/22/24)

Why & How Scholarships Matter for Student Success in STEM (2/28/24)

Using Mixed Methods to Understand UMBC Student Engagement (3/7/24)

Decoding a Decade of Feedback @ myUMBC's "Check My Activity" (4/10/24)

These presentations have provided valuable knowledge and resources to support faculty in their understanding and utilization of data to support their pedagogy, and the meeting recordings linked through each event are available for anyone with a UMBC account.

The LA Mini Grants program presents an exceptional opportunity for faculty members to enhance their teaching practices and contribute to the university's commitment to student success and retention. Interested faculty members are invited to submit their applications by Friday, June 7, 2024.
Advanced release conditions customize Ultra content in May

<Tagline>Improvements to gradebook calculations, reduce animations</Tagline>

With the latest update to Ultra in May, instructors can design a learning pathway where students must demonstrate proficiency in multiple content areas (e.g., at least 80% mastery on separate assessments) before they can move on to new subject matter. This ensures that students have a solid foundation in critical topics, enhancing preparedness as they progress to more challenging topics. By setting multiple performance criteria, instructors can tailor the learning experience for a diverse student population. The first phase of this update will support AND criteria (e.g., test 1 AND test 2 are required criteria). Later in the summer, the second phase is expected to support OR criteria.

Image 1: Example of setting AND criteria in advanced release conditions panel

Assessment & Grading Enhancements

Instructors now have the ability to provide specific feedback for each question when grading an assessment.
