FAC SR - Phase II Scope Definition - Assign Advisees to Advisors

Project Description
Need to assess the success of the pilot and determine next steps including developing protocol for maintaining assignments.
- Explore modifying advisee list to include major for maintenance purposes.
- Requrested by Michele Bulger: In Assign Advisee functionality, develop a mechanism to maintain former student advisee assignments without cluttering faculty's advisee list
- For departments using Assign Advisee functionality, develop a REX report to detail students change from one major to another so that students advisor assignment information can be updated in SA.
The items that have changed are:
Status Summary: Fall 2012
September 2012 : Schedule 2 focus group sessions, invite pilot users who assign advisees and ask them to extend the invitation to their advisors who actively use their ???my advisees??? list.
October 2012 : Hold focus group sessions and summarize feedback.
November: Prioritize suggested enhancements, develop preliminary project plan and change request.
December/January: Develop specs and finalize project plan for enhancements
Spring 2013
Development and testing of enhancements (details TBD by outcome of focus group, project plan and specs)
Summer/Fall 2013
Rollout of enhancements
NOTE: This summer, I have identified two institutions that have made significant enhancements to the assign advisee functionality. University of Kansas has an automated assign advisee process that uploads files of new students/students who do not have advisors and assigns them randomly based on student plan and advisor organization. They are in the process of developing a second process that automatically inactivates a students??? advisor assignment if their program/plan data no longer matches their advisor???s academic org (because of a major change). UCSC has developed a process that allows departments to upload a spreadsheet file of student-to-advisor data. Their files then populate the SA fields.
I have obtained contact information for project leads at both schools and expect that we will be able to tap into their experience as we move forward.
Pam will facilitate focus group discussion for users of the prototype to generate feedback on functionality and to discuss recommendations for enhancements.
