COVID-19 Information for End of Semester and Winter Break

Key Points

The increase of COVID-19 cases on campus is challenging but manageable.

During Winter Break, many COVID-19 response processes will be paused.

Community members who receive positive test results should reach out to their healthcare provider for guidance.

Certain compliance measures remain in effect, especially for faculty, staff, and students who will be on campus in January.

Dear UMBC Community,

As we near the end of the semester, we continue to manage a number of COVID-19 cases on campus. We appreciate the actions taken by all of our faculty, staff, and students to increase safety measures and offer flexibility for symptomatic students and colleagues. This increase on campus is challenging, but manageable, and we are fortunate that the cases have not been severe. We have no evidence of transmission within classrooms. In addition, we have reason to believe that most of our transmission is happening in unofficial gatherings where masking and distancing are not occurring.

At this time, we are planning to hold in-person graduation ceremonies as planned. Please be aware that we are carefully monitoring a broad range of factors and will keep the campus community informed if there are any changes.

Given the very reduced number of community members on campus during Winter Break, we will pause most contact tracing and case response processes from December 23-January 2 in order to provide frontline staff a much needed respite. Community members in need of support will still be able to access immediate help by calling University Police or emailing covid19@umbc.edu for non-urgent concerns. Students on campus in need of medical support may also call the Retriever After Hours Support Line at 410-455-3230.

On-Campus COVID-19 Testing

UMBC’s on-campus PCR testing will pause during Winter Break. The last opportunity to test on campus is Tuesday, December 21 before 11am. However, self-administered rapid antigen tests will be available at the Police Station and the desks of open residence halls for any individual who is required to be on campus and test during the break.

If you receive a positive test result between December 21 and January 2, please work with your healthcare provider and/or local health department to seek care and guidance on quarantine and isolation. Students who test positive next week should complete their isolation period off-campus. If this is not possible, we will work with you to find alternative housing arrangements.

Compliance

Students who have health and safety requirements may stop regular testing when they leave campus for the semester. However, if they will be on campus for winter courses, they must continue to symptom track during Winter Break and through the end of Winter Session. Testing requirements will resume the first day of any in-person or hybrid winter courses.

Faculty and staff with testing requirements will not need to test during the break but must continue to symptom track. Faculty and staff with testing requirements are expected to test when they return to campus on January 3.

Booster Clinics

We are very pleased that our on-campus COVID-19 booster and flu shots clinics have each filled to capacity. We are currently planning additional clinics in January. Clinics will be by appointment only. Dates and appointment links will be posted here.

Thank you for all of your efforts to keep our campus safe and healthy. We wish all of our students, faculty, and staff a productive conclusion of the semester and a restful break.

Working with the Special Collections reference chat service

<Tagline>A graduate student internship project</Tagline>

Zee Hinz '14, gender and women's studies, is a Fall 2021 graduate of the Masters of Library and Information Science program at the University of Maryland, College Park. Zee completed an internship with UMBC Special Collections in 2021 and shares their experience here. Thanks, Zee!

During the height of the pandemic in January 2021, I joined the Albin O. Kuhn Library & Gallery’s Special Collections department as a graduate student intern. I joined as a required field study project for my Masters in Library and Information Science degree from the University of Maryland, College Park. As a UMBC alum I relished the opportunity to assist the UMBC community. I spent most of my time at UMBC at the library but had no experience using the Special Collections. This internship afforded me the opportunity to learn about this facet of the library and how its use could be continued throughout the pandemic.

Libraries, archives, and museum collections have historically been based on the physical. We used to have a very physical interaction with our users, lending a book or getting an image or box of archives ready for viewing. That shifted abruptly during the COVID-19 pandemic. The need for distanced connection led to an increase in trying to provide digital programming and access to resources.

One way that this manifested was through online chat services. Though these services have been in use for many years across organizations, they became even more essential during the pandemic. The AOK Special Collections was no different. Many of the resources that the collection has were suddenly unreachable. The chat service allowed connection once again. But with this proliferation of chat services comes an increasing need to understand how and how well they are being used.

That’s where I came in. My task was to analyze chats to understand how users are utilizing the service, and how it can be improved. My first task was to learn all I could about the Special Collections and about providing virtual chat service. I have been a chat operator at Enoch Pratt Free Library since May 2020 so I brought a lot of previous experience to the table. My coursework in Library Science also gave me a baseline of knowledge about special collections that I was able to build on. My supervisor Lindsey Loeper, Reference and Instruction Archivist at AOK, made sure I read about the specifics of special collections including ethics, processes, and more.

After going through training to staff the chat myself I moved on to creating a training document. I captured everything one would need to know from day one of operating the chat service. Operating the chat and synthesizing my training into a document gave me an intimate understanding of what users bring to and expect from live chat.

Sample page from the training document

My next step was to analyze chat data to identify patterns of use and provide an easily reviewable source for the staff of the library. First the chat data was exported. I streamlined the information exported into its important component parts. I had two phases of coding the chat. First was to pick out the evident parts. This is discrete information like time of chat, chat operator, and chat duration. Next I moved on to the less black and white parts of the chat data. I had to decide how it would be best to capture the complicated and cloudy nature of online chats into a structured framework. This ended up being eight categories when taken as a whole give a complete picture of each chat. These categories are location of user, type of user, affiliation, topic, year of inquiry, resolution, material referenced, and material used. I viewed each of these categories as a question to be answered.

I used my education and information services and my experience in public libraries to bring the perspective of both customer service and efficiency in providing information. Throughout my time as an intern, and in my work before, one issue that constantly arises is the loss of institutional knowledge and memory when employees move on. Creating process documents is an essential way of capturing the information in someone’s mind before they leave. That way, the hard work put in along the way will not have to be replicated by anyone else down the line. With this in mind my final project was to create a step-by-step process document for how to codify the chats. Now anyone with a need to understand or change the chat service will have an easy outline for gathering and coding the mass of information present.

I believe that through this work we have created a better and stronger live chat service. I hope that you will be able to access the Special Collections to see our work, online or in person.

Winter To-Do List

<Tagline>10 Tips for Success in Spring 2022</Tagline>

Winter break is finally here!

You worked hard this semester and it doesn’t go unrecognized. Now is the time to get some well-deserved rest and re-charge before the spring semester begins.

It’s easy to binge-watch your favorite tv shows or go down the TikTok rabbit hole, but we’d like to challenge you to do some things that will truly restore you during your winter break.

1. Catch up on sleep!

Did you pull more all-nighters this past semester than you would like to admit? Now is the time to re-establish some good sleeping habits and get the rest you deserve.

2. Do some brainstorming for next semester’s plans.

Take some time to evaluate your fall semester and map out your plan for the spring. How did your course load feel this semester? How did you do in online vs. in-person classes? Did you connect with professors or advisors in your department? Did you seek academic support when you needed it? This can be a great time to assess your academic plan and make sure you are getting all the support you need to move forward!

If you found yourself too overwhelmed and busy last semester, consider what activities you may need to let go. On the other end, if you feel you had too much time on your hands, consider some clubs or activities you may be able to get involved in this spring. Many organizations continue to offer regular online and in-person programming for students.

3. Take time to reconnect with family and friends.

It’s the perfect time of year to tell your friends and family that you cherish them! Keep your support system strong and growing into the spring semester. FaceTime the elders in your family and learn more about your family history and heritage. This discovery about your family roots can be the inspiration you need to keep pushing forward when the going gets tough.

4. Eat a good meal! Or two. Or three...

Take a break from your typical college diet and use this time to enjoy some hearty, homecooked meals. Check out these easy meals for college students!

5. Spend an afternoon exploring the great outdoors!

Yes, it’s a bit cold in the winter, but all you need is some winter gear to enjoy some fresh air and nature. If you call Maryland home, you could explore many of the state parks that are still open. If you like skiing, there's lots of great local spots to check out too! And if you aren’t feeling as adventurous, even a walk around your neighborhood can do a world of good!

6. Research a graduate or professional school.

Whether you are just starting to think about grad school or currently working on applications, many schools offer virtual fairs or meetings to prospective students. As you research graduate or professional programs, make sure you’re aware of all application deadlines and requirements such as personal statements, letters of recommendation, and graduate school admissions exams.

7. Set up an informational interview with a working professional.

Find out what a profession is like and connect with people in your future field by conducting an interview unrelated to a job search. Sample question: “What are the most important qualities for an aspiring pilot/engineer/dance therapist?” Keep a journal to record notes from these experiences. We also have a lot of UMBC alumni for you to connect with through our Retrievers Connect network!

8. Update and upgrade your resume.

Opportunities sometimes come up quickly, and you want to be ready with that polished resume. Every college student needs a polished resume! Check out these tips from the Career Center!

9. Research scholarship and internship opportunities.

Are you looking for funding? Check out Scholarship Retriever, which offers a variety of scholarship opportunities to new and current UMBC students. The Scholarship Retriever lists institutional, merit, financial need, and department scholarships.

Look ahead to summer and get a jump on searching for summer internships, which can provide both $ and valuable experience. The more competitive internships have deadlines in the fall, but some are still open in January-March. If you have already missed a deadline, get all the information so you can apply early next year. Check out some tips for getting started here!

10. Work on your graduation game plan.

Winter break is an excellent time to create, revise or update your academic plan. Here are suggestions for a pathway you can take towards graduation, which also includes a helpful planning worksheet! Don’t forget to refer to your myUMBC profile for more academic information!

Wishing you all a restful and well-deserved winter break! We look forward to welcoming you back in the new year!
