<Title>Reminder: Blackboard Courses Scheduled for Server Retirement</Title>
<Tagline>Courses before Fall 2021 to be retired beginning 6/1</Tagline>

    <div class="html-content"><div><span>During Summer 2024, DoIT staff and Blackboard will archive our entire instance of Blackboard, which will save individually backed-up copies of every course and organization through SP2024. Courses offered before and including AY20-21 will be retired by the end of SU2023. </span></div><div><br></div><div><strong>Beginning June 1</strong>, courses offered from the following terms will be scheduled for retirement:</div><div><ul><li>Any courses older than five years</li><li>Fall 2020</li><li>Winter 2021</li><li>Spring 2021</li><li>Summer 2021</li></ul></div><div>The Blackboard system's overall performance and efficiency will improve by removing files and database transactions from the content server and database. AY21-22, AY22-23, and AY23-24 will remain on the server. Fall 2024 will begin a new academic year of data retention (AY24-25).</div><div><br></div><div><strong><u>FAQs about Course Retirement</u></strong></div><div><br></div><div><strong>Is my content gone forever?</strong></div><div>No, Blackboard archived courses captured all course data, files, student submissions, discussions, grades, etc. through SP2024. These archives will reside on a secure cloud storage location.</div><div><br></div><div><strong>When will I lose access to courses that are being retired?</strong></div><div>The archiving process will begin on <strong>June 1st</strong>. <a href="http://my.umbc.edu/go/request-help" rel="nofollow external" class="bo">Faculty can place an RT ticket</a> to have their course content restored through November 2024. </div><div><br></div><div><strong>Can I save a copy of my own courses?</strong></div><div>Yes -- and it is strongly encouraged! Instructors can <a href="https://wiki.umbc.edu/x/FIBaAQ" rel="nofollow external" class="bo">export</a> (course content) and/or archive (course content &amp; student data) their courses. You should also <a href="https://wiki.umbc.edu/x/b4B1AQ" rel="nofollow external" class="bo">download a copy of your gradebook</a>. We recommend saving these files to UMBC's cloud storage to ensure long-term access in the event you change computer systems.</div><div><br></div><div><strong>Can I restore (regain access to) only course content?</strong></div><div>Yes. Course content consists of files and course structure (menu, folders, etc.). Faculty can only import course content to an existing Blackboard course shell. Please submit a RT request for assistance importing an exported course file.</div><div><br></div><div><strong>Can I restore course data?</strong></div><div>Course data consists of student submissions, discussions, and grades. We generally prefer not to restore full courses to avoid reinstating user accounts and confusing students with old content. If you must restore archived course data, please open an RT ticket with justification included.</div><div><br></div><div><strong>How long will you keep the retired courses?</strong></div><div>We will keep the retired courses for approximately 2 years after Blackboard archives the courses. <Title>Fall 24 Blackboard Courses to Use Ultra by Default</Title>

    <div class="html-content"><p>In consultation with the Deans as well as the Faculty Senate Computer Policy Committee (CPC), DoIT will make Ultra the default version of Blackboard for all Fall 2024 course shells that are auto-created and auto-enrolled before every semester. However, faculty who still wish to “roll back” their Ultra shells to Original, can do so by using <a href="https://doit.umbc.edu/request-tracker-rt/doit-myumbc-blackboard/" rel="nofollow external" class="bo">this Request Tracker (RT) form</a> before the 1st day of classes on August 28, 2024.</p><p><strong>Why is DoIT Doing This?</strong></p><p>Currently, unless a course is part of a department’s, school’s or college’s <a href="https://doit.umbc.edu/news/post/133604/" rel="nofollow external" class="bo">switch to Ultra</a>, Original is the default version of all auto-created Bb course shells, and faculty who wish to use Ultra must <a href="https://umbc.atlassian.net/wiki/x/qEjVAQ" rel="nofollow external" class="bo">convert the course to Ultra themselves</a> before using it. However, with <a href="https://doit.umbc.edu/news/post/139602/" rel="nofollow external" class="bo">nearly 70 percent of all UMBC courses using Ultra now</a>, DoIT feels the change in default course shell version is justified, and supports the <a href="https://doit.umbc.edu/news/post/130227/" rel="nofollow external" class="bo">broader plan</a> to complete the Ultra migration by the end of Fall 2024. In addition, 50 percent of Blackboard’s clients are now using Ultra, there is little to no new development or fixes of Original, and it is expected that Anthology (the company that bought Blackboard in <a href="https://www.anthology.com/news/anthology-completes-merger-with-blackboard-launches-next-chapter-in-edtech" rel="nofollow external" class="bo">2021</a>) will announce the end of life for Original sooner than later.</p><p>“I know we’ve been migrating to Ultra for several years now, due in part to the maturing product but also the ‘all hands on deck’ support the pandemic pivot to online learning required,” says John Fritz, Associate VP, Instructional Technology. “I want to personally thank all faculty for their patience, those who’ve been using Ultra already and now won’t have to manually convert their courses from our Original template, but also those still waiting for the right time to switch. As we head into our last semester supporting both versions, I want to assure all faculty that DoIT is ready, willing and able to help in whatever way we can. Yes, we’ll make Ultra the default for Fall 24, but if you intend to use Original, please just let us know as soon as possible by completing our ‘roll back’ request <a href="https://doit.umbc.edu/request-tracker-rt/doit-myumbc-blackboard/" rel="nofollow external" class="bo">form</a> in RT.”</p><p><strong>What Does This Mean for Me?</strong></p><p>If you are using Ultra now, your Fall 2024 course shells will be auto-created with Ultra. Since you do not have to convert anything, you can get started right away with Ultra</p><p>However, to also help faculty not yet using Ultra, Bb course shells listed in the Schedule of Classes (SOC) will be auto-created by May 15, 2024, without student enrollments. This helps for a few reasons:</p><ul><li><span>Faculty not yet using Ultra can start with a new shell for Fall 2024, a practice DoIT recommends when using it for the first time. Early access to your course provides more than 12 weeks of prep time before the semester begins.</span></li><li><span>Faculty can also review their Fall 2023 Original courses that DoIT converted to Ultra before the start of that semester (DoIT <a href="https://drive.google.com/file/d/1dJQ02-S0flGhuz4Jvp_9AplRI8p1HlrN/view?usp=sharing" rel="nofollow external" class="bo">notified</a> these faculty by myUMBC personal post).</span></li></ul><p><strong>When Do Students Get Enrolled?</strong></p><p><span>Students will be added to your Fall courses by Friday, August 2, when auto-enrollments initiate. Enrollments will continue to pass from PeopleSoft to Blackboard as students add/drop and refresh completely overnight. As always, faculty also still <a href="https://umbc.atlassian.net/wiki/x/JQDVAQ" rel="nofollow external" class="bo">control availability</a> of the course to students.</span></p><p><strong>How Can I Use Original?</strong></p><p>If faculty wish to “roll back” their Fall 2024 Ultra shells to Original, they can do so <a href="https://doit.umbc.edu/request-tracker-rt/doit-myumbc-blackboard/" rel="nofollow external" class="bo">by RT ticket</a>. DoIT strongly recommends faculty request a roll back before the first day of classes to ensure sufficient time for course preparation. For example, the following conditions apply:</p><ul><li><span>If a roll back is requested in August, it will require a complete refresh of the course enrollment which takes up to 24 hours to process. </span></li><li><span>Since a roll back requires deletion and recreation of a course in Blackboard, we will not roll back a course if there is learner activity (e.g., grades, assessment submissions, discussions) to preserve this critical data.</span></li><li><span>Courses will not be rolled back to Original after September 11, 2024, the last day to add/drop a course.</span></li><li>The rollback request option does not apply to CAHSS courses as CAHSS agreed to migrate all courses <a href="https://my3.my.umbc.edu/groups/instructional-technology/posts/130227" rel="nofollow external" class="bo">by the start of Fall 2024</a>.</li></ul><span><strong>Training and Support</strong></span><p>Again, DoIT recommends starting fresh in Ultra to take full advantage of the platform's new features and design capabilities as this approach allows for <a href="https://umbc.atlassian.net/wiki/spaces/faq/pages/30743585/How+do+I+copy+my+Blackboard+course" rel="nofollow external" class="bo">copying content</a> from Original or rebuilding courses from the ground up to ensure an optimal experience for both faculty and students.</p><ul><li><span>DoIT will provide <a href="https://calendar.app.google/g1NUBauLXnQzavZP8" rel="nofollow external" class="bo">weekly Ultra “office hour” consults</a>, including one evening a week and one Saturday a month to support adjuncts throughout the Summer and Fall 2024 terms. </span></li><li><span>Instructional Technology offers <a href="https://docs.google.com/document/d/1moTh6n0xTLW64IHYoXN8lZ8t1j1rI_L6r_NCiObX6aA/preview?usp=sharing" rel="nofollow external" class="bo">an 8-step migration guide</a> with resources and checklist that can be printed and checked as faculty prepare to migrate from Original to Ultra. [<a href="https://docs.google.com/document/d/1moTh6n0xTLW64IHYoXN8lZ8t1j1rI_L6r_NCiObX6aA/copy" rel="nofollow external" class="bo">click here to make your own copy</a>]</span></li><li><span>A wide range of <a href="https://my3.my.umbc.edu/groups/instructional-technology/events?mode=upcoming&amp;tag=ultra-experience" rel="nofollow external" class="bo">training</a> and support options is available to fit faculty needs including <a href="http://doit.umbc.edu/news/post/132978" rel="nofollow external" class="bo">custom solutions</a> and consults. Departments can schedule customized training, including evening sessions for adjuncts or dedicated sessions for teaching assistants, teaching fellows, and grad assistants. Recordings are <a href="https://umbc.hosted.panopto.com/Panopto/Pages/Sessions/List.aspx?folderID=74ac9d58-1779-44c1-92b7-ab6900dfe6e9" rel="nofollow external" class="bo">also available</a>.</span></li></ul><p>Although UMBC has offered Ultra since 2019, faculty who have not yet migrated have identified time to learn a new system as the primary variable in their deferment. Despite these constraints, continued feedback from UMBC faculty points to readiness to engage with Ultra with ongoing support from Instructional Technology when aligned with their time availability. It saves significant time and effort, as it eliminates the need to recreate or manually transfer each component of your course. This method ensures that the structure and integrity of your original course are maintained, providing a familiar environment for both you and your students in Ultra.</span></li><li><span><strong>Copying Individual Course Items</strong>: Sometimes, you may find that only certain materials need to be moved to a new course. Ultra allows for <a href="https://help.blackboard.com/Learn/Instructor/Ultra/Course_Content/Reuse_Content/Ultra_Copy_Content#CopyIndividualCourseContentInUltra" rel="nofollow external" class="bo">the selective copying of items</a> such assignments, tests, and specific content sections -- even a single item! You can even choose to copy content from an organization.</span></li><li><span><strong>Copy Content Contextually</strong>: The course copy tools are not limited to a holistic approach. Wherever the purple plus sign appears -- top, bottom, middle, even within a folder or learning module -- you can copy content into your course and it will be placed exactly where you want it to go. However, since the import function is now disabled in our Blackboard environment, faculty who may need to import a content package from Original or another learning management system should <a href="https://doit.umbc.edu/request-tracker-rt/doit-myumbc-blackboard/" rel="nofollow external" class="bo">open an RT ticket for support</a>.</div><div><br></div><h6>Important Notes About Course Copy</h6><div><br></div><div>While we highly recommend the flexibility you have with the Ultra course copy tool, there are a few important details to know before using it so you can plan your pathway.</div><div><ol><li><span>You always start in your new Ultra course <a href="https://umbc.atlassian.net/wiki/x/IRzVAQ" rel="nofollow external" class="bo">and PULL content into it</a> from other courses.</span></li><li><span>You can copy all content or choose to copy only discussions, question banks, rubrics, grade schemes, and/or announcements. Select a specific category and <a href="https://help.blackboard.com/Learn/Instructor/Ultra/Course_Content/Reuse_Content/Ultra_Copy_Content#CopyIndividualCourseContentInUltra" rel="nofollow external" class="bo">choose individual items</a>. Do you only need one or two announcements or a few question banks from different courses? The course copy tool will help you do it!</span></li><li><span>Copied content is generally passed over in a hidden state to ensure you have a chance to review and revise before students can see it. Tip: Remember to make content "visible to students" or <a href="https://help.blackboard.com/Learn/Instructor/Ultra/Course_Content/Release_Content" rel="nofollow external" class="bo">adjust release conditions</a> once you have reviewed or updated it.</span></li><li><span>By default, Ultra courses support <a href="https://my3.my.umbc.edu/groups/instructional-technology/posts/139606" rel="nofollow external" class="bo">up to three levels of hierarchy</a> to enhance the student learning experience. For example, a folder within a folder within a learning module is an example of three levels. However, when content you choose to copy is deeper than three levels, Ultra will flatten the organization and move the content to the lowest supported level. No content is deleted.</span></li><li><span>Student data is not included when you copy a course. This includes grades, assessments, discussions, messages, etc.</span></li><li><span>Check on the status of your course copy by viewing the <a href="https://help.blackboard.com/node/43786" rel="nofollow external" class="bo">Course Tasks and Logs</a>, available from the More Options menu next to the search tool. Course copies are queued in order of when they are requested by faculty. If there is high demand, your copy may take a little longer. Running the process again will produce duplicate content so it’s better to wait.</span></li><li><span>Occasionally, the course copy tool may produce an error about progress tracking. This initiative aims to encourage, identify, and exchange effective practices to enhance student success and retention.<br><br>The mini grants are specifically designed to address two key areas of focus:<br><br>Student Success and Retention: The grants welcome proposals that explore the relationships between activities and learning in one course and outcomes in other courses. By investigating these connections, instructors can gain insights into strategies that can improve student success and retention rates. Furthermore, participants will be expected to present a report at the conclusion of their project, and they will have the opportunity to engage with the <a href="https://doit.umbc.edu/analytics/community/" rel="nofollow external" class="bo">LA Community of Practice</a>. Please review the <a href="https://wiki.umbc.edu/x/2IGdB" rel="nofollow external" class="bo"><span>Ally FAQs</span></a> for more information about the <a href="https://wiki.umbc.edu/x/_YGdB" rel="nofollow external" class="bo"><span>accessibility indicators</span></a> on course content and <a href="https://wiki.umbc.edu/x/3IGdB" rel="nofollow external" class="bo"><span>alternative formats</span></a>.</p><p><strong>About Course Creation</strong></p><div><span>Bb shells for </span><span>SU2024</span><span> are available for all courses (designated as lecture, lab, field or discussion) listed in the </span><a href="http://my.umbc.edu/go/schedule" rel="nofollow external" class="bo">UMBC Schedule of Classes (SOC)</a><span>, provided that there is an </span><a href="http://www.umbc.edu/blogs/oit-news/archives/2010/08/how_new_employe_1.html" rel="nofollow external" class="bo">instructor of record</a><span> listed. As new course sections and/or instructors are added to the SOC by </span><a href="https://registrar.umbc.edu/services/classroom-scheduling/" rel="nofollow external" class="bo">Department Scheduling Coordinators</a><span>, corresponding Bb shells are automatically generated overnight. </span></div><ul><li>If you are an instructor, and your name is not associated with the course you are teaching in the <a href="http://my.umbc.edu/go/schedule" rel="nofollow external" class="bo">SOC</a>, please see your <a href="https://swsupport.umbc.edu/scheduling-coordinators/" rel="nofollow external" class="bo">Departmental Scheduling Coordinator</a> to resolve the issue. Once you are listed in the <a href="https://my.umbc.edu/go/schedule" rel="nofollow external" class="bo">SOC</a>, your Bb course shell will be created automatically. </li><li>If you and your <a href="https://swsupport.umbc.edu/scheduling-coordinators/" rel="nofollow external" class="bo">Department Scheduling Coordinator</a> believe you are correctly assigned as the instructor of record in the SOC and you do not see your course shell in Blackboard, please submit a Request Tracker (RT) ticket via <a href="https://my.umbc.edu/help" rel="nofollow external" class="bo">my.umbc.edu/help</a>.</li><li>If you need a Bb shell for a research or independent study course, please submit a <a href="http://www.umbc.edu/doit/blackboard/requestbbshell.html" rel="nofollow external" class="bo">new course request</a>.</li></ul><p>Instructors who teach multiple sections of the same course will find those enrollments merged into one Bb course shell. These sections may be split upon <a href="https://my.umbc.edu/go/request-help" rel="nofollow external" class="bo">request by an RT ticket</a>, which we recommend <a href="https://wiki.umbc.edu/x/d4HGAw" rel="nofollow external" class="bo">submitting at least one week</a> before the semester starts, if not as soon as courses are created in Blackboard. <strong>NOTE:</strong> Courses should not be split after student grade data and engagement activity is recorded since it will be purged as part of the separation process.</p><p>Student enrollment in Bb mirrors the official registration in SA and updates hourly. <Title>Advanced release conditions customize Ultra content in May</Title>

    <div class="html-content">With the latest update to Ultra in May, instructors can design a learning pathway where students must demonstrate proficiency in multiple content areas (e.g., at least 80% mastery on separate assessments) before they can move on to new subject matter. This ensures that students have a solid foundation in critical topics, enhancing preparedness as they progress to more challenging topics. By setting multiple performance criteria, instructors can tailor the learning experience for a diverse student population. The first phase of this update will <a href="https://help.blackboard.com/node/48006" rel="nofollow external" class="bo">support AND criteria</a> (e.g., test 1 AND test 2 are required criteria). <Title>Deeper Feedback Options &amp; Anon Discussions in Ultra</Title>

    <div class="html-content">The April update to Ultra features several enhancements designed to improve the teaching and learning experience. This update, driven by user feedback from UMBC and the broader global community, expands the platform's capabilities to meet the evolving needs of faculty and students. It includes a range of new features such as improved feedback mechanisms, streamlined assessment creation, enhanced course navigation tools, and AI-assisted course design. These changes aim to provide instructors with more intuitive and efficient tools to support their teaching efforts while ensuring students have essential access to course content and assessment outcomes.<div><br></div><div>Additionally, t<span>he software library used to perform calculations in calculated columns and the overall course grade <a href="https://help.blackboard.com/node/47871" rel="nofollow external" class="bo">changed to BigFraction</a>. When calculating an average of three assessments, BigFraction will properly calculate whereas the former software library, BigDecimal, would round down. The new software library ensures calculations compute as expected. </span><div><br></div><div><strong>Feedback Improvements</strong></div><div><ul><li>Instructors can now <a href="https://help.blackboard.com/node/47866" rel="nofollow external" class="bo">provide contextual feedback per student on all question types</a>. Students can access both overall feedback and question-specific feedback after grades are posted.</li><li>Students can now <a href="https://help.blackboard.com/node/47831" rel="nofollow external" class="bo">view grades and feedback regardless of the release conditions</a> that might otherwise hide an assessment in a course.<span> </span><span> </span></li></ul><div><strong>Assessment &amp; Grading Enhancements</strong></div></div><div><div><ul><li>Instructors can now select Duplicate to <a href="https://help.blackboard.com/node/47841" rel="nofollow external" class="bo">quickly copy an existing question</a> within a test, assignment, form, or question bank, eliminating the need for manual duplication.</li><li>The default point value for test questions is <a href="https://help.blackboard.com/node/47836" rel="nofollow external" class="bo">reduced from 10 to 1</a>. Any newly created questions will have a default point value of 1. </li><li>The <a href="https://help.blackboard.com/node/47861" rel="nofollow external" class="bo">flexible grading interface now displays</a> a single grade pill to provide a more intuitive grading workflow. A single grade pill improves visibility and efficiency, allows instructors to switch between a student's attempts during grading, and prevents accidental grade overrides.</li><li>The Attempt Log indicates <a href="https://help.blackboard.com/node/47851" rel="nofollow external" class="bo">whether a submission is manual or automatic</a> to provide instructors with deeper insights into student behaviors and better track student progress. </li></ul></div><div><strong>Engagement</strong></div><div><ul><li>A new setting enables instructors to <a href="https://help.blackboard.com/node/47856" rel="nofollow external" class="bo">allow anonymous posts in ungraded discussions</a>. In April, <a href="https://help.blackboard.com/node/47816" rel="nofollow external" class="bo">the context picker is extended to other generation workflows</a> including learning module structures and suggested prompts for assignments, discussions, and journals. For example, instructors can select an Ultra document or file attachment and the AI Course Design Assistant will scan the resource before generating a proposed output. In the case of a syllabus, the tools can better propose a structure that aligns to the course schedule by using the instructor's existing content. <Title>Ultra Adoption by Faculty Eclipses Original for SP2024</Title>

    <div class="html-content"><p>In the final nine months of <a href="https://doit.umbc.edu/news/post/130227/" rel="nofollow external" class="bo">UMBC's Ultra migration</a>, the overall faculty adoption rate <a href="https://doit.umbc.edu/news/post/135615/" rel="nofollow external" class="bo">continues to grow</a>. For the spring 2024 term, Original course usage decreased by 33% between fall 23 and spring 24. Overall, Ultra adoption increased to 69.49% this semester, representing 1091 courses out of 1567 available in UMBC's Blackboard site. </p><p>In addition, more departments and programs have <a href="https://doit.umbc.edu/news/post/133604/" rel="nofollow external" class="bo">opted in to using Ultra</a> as the default course experience for students, allowing faculty to quickly prepare their courses. Two weeks before the SP2024 semester started, Ultra <a href="https://wiki.umbc.edu/x/VoAc" rel="nofollow external" class="bo">course availability</a> to students outpaced Original courses by a margin of 63% to 2%.</p><p>Ultra continues to bring <a href="https://doit.umbc.edu/news/?tag=ultra-update" rel="nofollow external" class="bo">more than 200 enhancements</a> to the gradebook, content creation, and assessments. Unique to Ultra are <a href="https://doit.umbc.edu/news/post/131214/" rel="nofollow external" class="bo">progress tracking reports</a> and the <a href="https://doit.umbc.edu/news/post/134605/" rel="nofollow external" class="bo">AI Course Design Assistant tools</a>, designed to facilitate course development and improve student engagement with course materials. These updates offer a more intuitive and feature-rich platform for both faculty and students.</p><p><strong>Preparing For Ultra Course Migration</strong></p><p>While it is possible to <a href="https://umbc.atlassian.net/wiki/spaces/faq/pages/30748680" rel="nofollow external" class="bo">convert courses from Original to Ultra</a>, DoIT's Instructional Technology team recommends starting fresh. This approach allows for <a href="https://umbc.atlassian.net/wiki/spaces/faq/pages/30743585/How+do+I+copy+my+Blackboard+course" rel="nofollow external" class="bo">copying content</a> from Original or rebuilding courses from the ground up to ensure an optimal experience for both faculty and students. Starting fresh in Ultra enables you to take full advantage of the platform's new features and design capabilities.</p><ul><li>A wide range of Ultra training is posted through <a href="https://my3.my.umbc.edu/groups/instructional-technology/events" rel="nofollow external" class="bo">the Instructional Technology myUMBC events page</a>.</li><li>For departments or disciplines that want to adopt Ultra by default, Blackboard course shells can be designated as Ultra <a href="https://wiki.umbc.edu/x/eYHGAw" rel="nofollow external" class="bo">when courses are created</a>. Please <a href="https://doit.umbc.edu/request-tracker-rt/doit-myumbc-blackboard/" rel="nofollow external" class="bo">open an RT ticket</a> to coordinate your request with Instructional Technology by April 1, 2024 for SU2024 courses and by June 1, 2024 for FA2024 courses.</li><li>Instructional Technology will also <a href="http://doit.umbc.edu/news/post/132978" rel="nofollow external" class="bo">work with departments to customize Ultra workshops</a> and provide dedicated support sessions according to faculty schedules or specific use cases for teaching with Ultra.
