    <div class="html-content"><div>Dear Campus Partners,</div><div><br></div><div>An invitation was recently sent out to the campus community from Dr. Hrabowski, Dr. Rous, and the <a href="http://usc.umbc.edu" rel="nofollow external" class="bo">University Steering Committee</a> leadership for the first UMBC Community Mental Health Action Day on Thursday, April 7, 2022. </div><div><br></div><div>This event is focused on providing workshops and resources to help people in our community to take care of their own mental health, but to also to support those we care about, our colleagues, students, and our staff members. </div><div><br></div><div>For faculty, we encourage you to share this information with your students and/or incorporate a mental health activity into your course planning for April 7th. </div><div><br></div><div>For supervisors, we ask you to share this information with your staff and support them by encouraging their participation. </div><div><br></div><div>We hope this day will provide tools and spark meaningful conversations that are useful to you in the moment and for the future.     <div class="html-content"><div>To Supervisors:</div><div><br></div><div>Just as a reminder, the PMP process for this year runs from April 1, 2021 through March 31, 2022. Supervisors are required to complete and submit a PMP form, offering an evaluation for each of their regular Exempt and Non-Exempt direct reports for the 12-month period stated above. The deadline for submitting these evaluations is Friday, May 6, 2022.<br><br></div><div>Many of you have been successfully utilizing our process through DocuSign, which allowed us to capture the necessary signatures and approvals for the PMPs. For those who have not yet had an opportunity to submit a PMP via <a href="https://docusign.umbc.edu/secure/prd/FormToDocuSign/Form2DS.php?cfg=HR_PMPFormAttachment" rel="nofollow external" class="bo">DocuSign</a>, it is important to remember that a discussion with the next level reviewer and the PMP review meeting with the employee should take place prior to initiating the online DocuSign process for signatures.<br><br></div><div>After the PMP form is reviewed by the appropriate approver and presented to the employee, you are ready to submit your completed PMP through DocuSign using the hyperlink above. For ease of submission, you will need the employee's ID (this can be found in the <a href="https://www.umbc.edu/search/directory/" rel="nofollow external" class="bo">Directory</a>), as well as the employee's PeopleSoft department number. Please save the PMP form attachment using the following format: Employee's Last Name_First Name. <Title>Process Changes for Recruitment &amp; Hiring of Staff Positions</Title>

    <div class="html-content">It has been the on-going goal of the Human Resources Classification/Compensation and Employment Units to provide a cohesive and efficient process for hiring departments to ensure we attract and retain qualified staff.  With this in mind, we would like to share the following reminders/updates regarding the process flow for these units:<div><br></div><div><strong><span>Position Verification Process</span></strong><span>:  Hiring departments must have an updated and approved position description <em><strong>before recruitment may begin or the job requisition is created in PageUp.  </strong></em>This will ensure the position is appropriately classified, has a current salary range and will eliminate potential delays during the recruitment process.<strong><em>  </em></strong> Email the <a href="https://umbc.box.com/positiondescriptDOC" rel="nofollow external" class="bo">Position Description</a> form to <a href="mailto:HRclasscomp@umbc.edu" rel="nofollow external" class="bo">HRclasscomp@umbc.edu</a>.   If the position description has not changed, you will still need to submit a copy with the current date noting no changes for a class confirmation review.  You will receive an email confirmation once the position description has been reviewed and approved.<br><br></span></div><div><span><strong>PageUp Requisition Process</strong>:  Once the above-cited position verification has occurred, the hiring department may begin the recruitment process by creating the job requisition.  A checkbox has been added to the job requisition in PageUp which requires the hiring department to confirm that HR Class/Comp staff has approved the updated position description.  Note:  If the updated Position Description has not been submitted and approved by HR Classification/Compensation, the job requisition will not be processed until this step has been completed. </span></div><div><span><br></span></div><div><span><strong>Job Advertisement</strong>:  The approved job title assigned to the position must be used in the job advertisement.  HR Employment staff are available to provide recommendations if special modifiers are needed to attract the targeted candidate pool.  In addition, the position summary and major duties and responsibilities of the position should be used in advertising the position.  The minimum and preferred qualifications from the position description should match what is written in the job advertisement. </span></div><div><span><br></span></div><div><span><div><span><strong>Salary Approvals</strong>:  Once the recruitment and interview process is completed, and a candidate is identified for selection, the hiring manager should consult with the Department Head and any other involved areas (such as the Dean's Office) to determine the amount of the proposed starting salary.  The hiring manager should then consult with HR Classification/Compensation regarding the appropriate starting salary.  Candidates that will be starting at the minimum of the range approved for the position (nonexempt and exempt) do not require consultation.  </span></div><div><span>Note:  If you are selecting a current UMBC or USM nonexempt employee for a nonexempt position, please contact HR Classification/Compensation to determine any policies that may apply to the starting salary. </span></div><div><span><br></span></div><div><span>Once the proposed salary has been discussed by all parties, the informal offer may be made to the selected candidate.  The PageUp Offer Card will then be completed with the proposed salary and the appropriate documentation to support the selection (justification memorandum) and routed for approvals.  </span></div><div><span><br></span></div><div><span><br></span></div><div><div><span><strong>Questions</strong></span></div><div><span><br></span></div><div><span>Contact us:</span></div><div><span><br></span></div><div><span>Recruitment/Hiring and PageUp Questions -    <a href="mailto:hrrecruitment@umbc.edu">hrrecruitment@umbc.edu</a> </span></div><div><span><br></span></div><div><span>Position Description/Classification Process and Salary Approval - <a href="mailto:hrclasscomp@umbc.edu">hrclasscomp@umbc.edu</a></span></div></div></span></div></div>

<Title>Early Timesheet Approvals: PP 2022-19 (Ending 3/12/2022)</Title>

    <div class="html-content"><div><br></div><div><div>Pay period 2022-19 ends on March 12, 2022.  Normally, timesheet approvals would be due by 11:59 p.m. on March 17, 2022; however, due to the upcoming Spring Break, the timesheet and time entry schedules needed to be modified. </div><div><br></div><div><div><strong>TIMESHEET AND TIME ENTRY SCHEDULE MODIFICATION: </strong></div><div><br></div><div>Time entry will open on Thursday, March 17, 2022. In order to allow time for supervisors/timesheet approvers to approve timesheets for payroll 19, (ending March 12, 2022; to be loaded into PR20 time entry), <strong>timesheets for pay period 19 MUST be submitted and approved <u>no later than 12:00 noon on Thursday, March 17, 2022</u>.</strong></div></div><div><br></div><div>Supervisors are encouraged to monitor their employees' timesheet submissions and communicate accordingly. Payroll Preparers have access to view timesheet statuses in the HR system before time entry opens. Payroll Preparers are encouraged to review timesheets that are in a NEW &amp; SUBMITTED status and notify the supervisors/timesheet approvers that timesheets MUST be submitted and approved no later than 12:00 noon on Thursday, March 17, 2022.  </div><div><br></div><div>Timesheets that are not submitted and approved by this time will not load in time entry and a Time Entry Correction form will be required in order to pay hourly employees.</div><div><br></div><div><br></div></div><div>Thank you.</div><div>Sherrell McNamara, HRIS Manager</div></div>
