<Title>Year-End Timesheets for Calendar Year 2020</Title>

    <div class="html-content"><p><span>Please be mindful that
    the time sheet for pay period 2020-14 (ending 1/2/2021) is the last time sheet
    that will be processed for calendar year 2020. Below are helpful factors that
    should be shared with supervisors and <u>leave eligible</u> employees.</span></p>
    
    <ul><li><span>To
    ensure that all leave is recorded and processed correctly for the 2021 calendar
    year, it is imperative that time sheets (</span><strong>pay period 14 and prior</strong><span>) are </span><strong>submitted
    and approved by</strong><span> </span><strong>Thursday, January 7, 2021</strong><span>. These time sheets
    must be processed in time entry for PR15.</span></li><li><strong><span>IMPACT: </span></strong><span> Processing <strong>late</strong> time
    sheets <strong>after </strong>PR15 time entry, for leave eligible employees,
    will result in leave reductions from the 2021 leave and post inaccurate
    balances.  </span></li><li>Personal
    leave hours for calendar year 2021 were available to employees for usage as of
    January 1, 2021. Starting with the <strong>time
    sheet for pay period 16</strong><span> (1/17/2021 thru 1/30/2021) and until the year-end
    leave process occurs, employees will notice the personal leave balance will
    reflect the unused personal hours from 2020 in addition to the hours for 2021.
    Any personal leave hours </span><u>used or processed in the system after</u><span> January
    2, 2021 (ie. late time sheets or excess usage) will be </span><u>deducted from
    the 2021 personal leave balance</u><span>.</span></li><li>Maximum
    annual leave carryover into 2021, for full-time employees, is 480 hours.
    Carryover hours are pro-rated for part-time employees.</li><li>Supervisors
    should submit a Holiday Leave Carryover Exception Request Form (<a href="https://umbc.box.com/HolLeaveCarryoverExceptionPDF" rel="nofollow external" class="bo"><span>https://umbc.box.com/HolLeaveCarryoverExceptionPDF</span></a><span>)
    for any employee approved to carry over unused holiday leave into calendar year
    2021. The form must be signed by the Department Head and forwarded to my
    attention for review and processing.</span></li><li>Employees
    will notice updated leave balances, inclusive of processed year-end figures, on
    the time sheet for <u>pay period 17</u><span> (ending 2/13/2021).</span></li><li>Payroll
    Preparers will be able to run the detailed leave report (use pay run id
    2021016) to review leave data inclusive of year-end processing. <strong>Helpful
    note</strong><span>: The steps for year-end leave processing are as follows:  (1)
    roll back excess or unused leave from 2020--applicable to annual and personal
    leave; (2) deduct leave used reported on time sheet 15; (3) add the leave
    accrual earned for PR15; (4) process manual adjustments entered by HR; and (5)
    calculate new ending leave balances. </span> </li></ul>

    <div class="html-content"><div><div><p><strong>TIME ENTRY SCHEDULE MODIFICATION - Payroll 14</strong></p><p>Time entry will open on Monday at 2:00 PM in order to allow enough time for supervisors to  approve timesheets for payroll 13 (to be loaded and pay for payroll 14).  <strong>Timesheets MUST be submitted and approved no later than 2:00 PM on Monday, December 21st.</strong></p><p><strong>PLEASE COMMUNICATE THIS DEADLINE TO TIMESHEET APPROVERS</strong> so they are aware of the modified holiday schedule.</p><p><strong>IMPORTANT: </strong>Preparers have access to a page in PeopleSoft (Notes attached) that allows you to review timesheets and their statuses BEFORE YOU RECEIVE THE TIME ENTRY REPORTS. Please review timesheets that are in a NEW &amp; SUBMITTED status and notify the supervisors that timesheets MUST be submitted and approved no later than 2:00 PM on Monday, December 21st.  Timesheets that are not submitted and approved by this time will not load in time entry and a Time Entry Correction form will be required in order to pay hourly employees on check dated December 24, 2020. </p><p><strong>PAYROLL PREPARERS </strong></p><p>The following items will be due on Tuesday, December 22nd</p><ul><li>Time Entry will close at 12:00 PM (<strong>REVIEW TIME-ENTRY REPORT PRIOR TO CLOSE</strong>)</li><li>Preliminary Gross Pay review </li><li>Time Entry Correction forms are due by COB (<strong>5pm</strong>)  </li></ul></div></div></div>
