    <div class="html-content"><p><span> Collin Sullivan has joined the UMBC Instructional Technology team as the new<a href="www.turningtechnologies.com" rel="nofollow external" class="bo"> Turning Technologies</a> Intern. This intern program offers students the opportunity to work with faculty to leverage the use of <a href="https://wiki.umbc.edu/display/faq/Clickers" rel="nofollow external" class="bo">clickers</a> in the classroom. Collin comes to us with a wealth of knowledge through his experience working with Howard County Public Schools Instructional Technology department.  <br></span></p><p><span>Collin is an incoming freshman at UMBC, planning to double major in Information Systems and Economics, with a minor in Political Science. He graduated from </span><a href="http://lrhs.hcpss.org/" rel="nofollow external" class="bo"><span>Long Reach High School </span></a><span>in Columbia, Maryland. During his freshman year, he delivered professional development workshops for teachers that focused on incorporating technology into their classrooms. Collin also served as a student member on a board that was tasked with implementation of a countywide </span><a href="http://www.hcpss.org/byod/" rel="nofollow external" class="bo"><span>Bring Your Own Device</span></a><span> program. <Title>Encoded Archival Description (EAD) in Special Collections</Title>
<Tagline>A technical overview of implementing a new XML standard</Tagline>

    <div class="html-content"><p>Hi! I’m Emily Somach, a graduate student at University of Maryland’s College of Information Studies. I am working towards my Master of Library Science degree, specializing in Archives, Records, and Information Management, and work as a Graduate Assistant in the UMBC Special Collections.</p>
    <p>For the past six months, I have been working on an exciting project to create <strong>Encoded Archival Description (EAD)</strong> for Special Collections’ archives. The project is funded by the National Historical Publications &amp; Records Commission (NHPRC) through the grant opportunity entitled “<a href="http://www.archives.gov/nhprc/announcement/access.html" rel="nofollow external" class="bo">Documenting Democracy: Access to Historical Records Projects</a>.”</p><h5>What is EAD?</h5><p>Well, the short answer is that EAD is a standard; it is used to encode data and information about personal papers or corporate records (i.e. archival materials). EAD is also an XML schema called EAD-XML, which means that an EAD record is written using the markup language XML (which is very similar in structure to the more familiar HTML). Lastly, an EAD record is also a type of finding aid.</p>
    <p>And what, you may ask, is a finding aid? A finding aid is the archival term for an index or guide to a collection. It is useful to both archivists and researchers; it helps the former gain intellectual and physical control over collections, and allows the latter to find and use materials relevant to their work. </p>
    <p>Essentially, EAD allows archivists to create platform independent records (or finding aids, the two are synonymous when discussing EAD) that are more dynamic and versatile than a word document or content management system record. EAD finding aids are easy to represent online and share between systems; they allow the public to find and access information about archival collections through online catalogs or discovery tools. Ultimately, collections represented in EAD become far more accessible and easy to locate and use.</p>
    <h5>How to Create EAD</h5>
    <p>EAD can be created by hand or through automated processes, but manually creating an entire record from scratch in XML is very time consuming and cumbersome. Luckily, for this project, we did not have to start from scratch or do everything by hand. Instead, we opted to repurpose the data we already had in PastPerfect, the content management system used by Special Collections. We developed a workflow that allows us to extract this data from PastPerfect and convert it into EAD-XML. While some post-processing and manual edits are required, the large majority of the workflow is automated.</p>
    <p>PastPerfect records and data can be exported in a variety of formats, including PastPerfect’s own flavor of XML. For the purposes of our project, we decided to export records in this PastPerfect-XML format, which meant that we would eventually be transforming one type of XML into another, i.e. PastPerfect-XML into EAD-XML. We decided that such a transformation would be easier and more straightforward than any other, as it only requires one transformation and one language.</p>
    <h5>The Workflow</h5>
    <h6>Stylesheet Creation</h6>
    <p>Upon starting the project, I worked closely with Dmitri Rudnitsky, an Information Systems undergraduate student at UMBC skilled in computer programming. Dmitri and I learned as much about EAD, XML, and XSLT as we could in two weeks, then set to work on the most technical aspect of the project: the XSLT stylesheet. XSLT (Extensible Stylesheet Language Transformations) is a language that is used to transform one XML file into another XML file. Not to get too technical, but we used this language to write functions that would take data from the PastPerfect-XML and rewrite it in the form appropriate to EAD-XML. Since Dmitri had to leave at the end of April, we wanted to utilize his expertise on this part of the project prior to his departure. By the time he left the project, I hoped to have learned enough to carry on with the rest of the work myself.</p>
    <p>Fortunately, we had a working version of the stylesheet by the time Dmitri left. By this time, I also felt comfortable tweaking, streamlining, and editing the stylesheet on my own as the work progressed and I learned more about XSLT. This stylesheet is available on the project's GitHub space: <a href="https://github.com/UMBC-Library/EAD-XML/blob/master/stylesheets/PPtoEAD_withComments.xsl" rel="nofollow external" class="bo">https://github.com/UMBC-Library/EAD-XML/blob/master/stylesheets/PPtoEAD_withComments.xsl</a>. A few months later I was able to create two more stylesheets for the project: one that splits a batch file into individual files and one that transforms the EAD-XML into HTML for web display.  <br></p>
    <h6>Data Cleanup</h6>
    <p><span>Once we completed the initial version of the stylesheet</span>, I shifted gears and started focusing on the data export from PastPerfect. Before we could extract any data, we had to ensure that it was as standardized and error-free as possible. Using the descriptive rules outlined in the Society of American Archivists’ <a href="http://www2.archivists.org/standards/DACS" rel="nofollow external" class="bo">Describing Archives: A Content Standards (DACS)</a>, we developed our own set of guidelines and standard forms for each field in PastPerfect. We then checked and edited each field in each record to adhere to the guidelines and ensure a uniform output.</p>
    <p>Occasionally, in order to correctly fill in a field, I had to physically locate a collection and identify or verify certain features. Most frequently this meant counting the number of boxes and calculating the equivalent linear footage, or checking to see what condition the collection was in and if it required conservation. Other times, it meant checking accession paperwork and describing how, when, or from whom we had acquired a collection.</p>
    <h6>Prioritization of Records</h6>
    <p>After the records were cleaned up, we prioritized all of them (about 150) into three groups: high, medium, and low. Prioritization was based on how complete they were or how much further editing they required. We added all of this information into a spreadsheet to track each record’s priority ranking, required edits, data cleanup status, and export status.</p>
    <h6>Export</h6>
    Initially, we did not think we could process a batch PastPerfect-XML file, which is how PastPerfect exports data for multiple records. We knew we ultimately needed an individual EAD-XML file for each collection and thought that in order to achieve this we would need to export each record individually from PastPerfect then transform each record individually into EAD-XML. This would have been an extremely time consuming task due to the PastPerfect export interface and the transformation tool we were using.
    <p>Fortunately, after much brainstorming, trial, and error, I was able to create a <a href="https://github.com/UMBC-Library/EAD-XML/tree/master/tools" rel="nofollow external" class="bo">batch processing tool </a>that not only transforms one PastPerfect-XML file into EAD-XML but also splits it into multiple files. The result is a folder of files: one EAD-XML finding aid per record. Once I had the batch tool working, I exported all records from PastPerfect classified as highest priority into a batch file.
    </p><h6>Transformation and Post-Processing</h6>
    
    <p>After export, I ran the batch tool on the PastPerfect-XML batch file which contained records for 38 collections. After about one second, a folder appeared containing 38 EAD finding aids.</p>
    
    <p>As discussed earlier, it was not possible (or within the scope of my expertise) to automate every aspect of the EAD creation. This meant that a few aspects of each EAD file needed some manual edits. Most notably, the source and classification of subject terms and people names had to be added (i.e. if it was a Library of Congress subject heading or a local term, if a subject was a geographic location or a genre, etc.). <a href="https://github.com/UMBC-Library/EAD-XML/tree/master/finding-aids" rel="nofollow external" class="bo">Samples of these records are available on Github. </a><br></p>
    
    <h6>HTML for Web Display <br></h6>
    
    <p>The final step was to make the now complete EAD finding aids displayable on the internet. This meant using another stylesheet to transform the EAD-XML into HTML. To do this, I ran all of the new EAD-XML files through another batch tool, resulting in 38 HTML files. I then created a cascading stylesheet (CSS) to style the HTML, ensuring consistency with the new UMBC Special Collections website. While not complete, the final product will be an individual webpage for each collection that displays EAD data in a readable way and also links to the raw XML file as well as a printable PDF version of the EAD finding aid. <Title>Kudos to David Sylva for Receiving Employee of the Quarter</Title>

    <div class="html-content"><div>DoIT would like to recognize its own David Sylva for receiving the Employee of the Quarter award (EOQ). The EOQ program recognizes the outstanding qualities and contributions of employees towards departmental and UMBC’s goals and mission. Sylva was presented his award at a surprise “meeting” on July 21, 2015.</div><div><br></div><div>In order to be eligible for the award, you must have been been employed at UMBC for 2 years and have made contributions to your department. Sylva began his career at UMBC in 2004 as a specialist for DoIT and has maintained his position to this day and has made several contributions with the most recent one <a href="http://doit.umbc.edu/about/success-stories/ets/" rel="nofollow external" class="bo">bringing electronic time sheets to UMBC</a>.</div><div><br></div><div>David was the technical lead for the new electronic time sheets. This enhancement was rolled out with few issues due in part to his diligence in meeting with the Payroll preparers the first pay cycle to walk them through the new processes.</div><div><br></div><div>Lisa Drouillard, Director of Payroll, said “[David] has a positive attitude and is willing to help in any way he can. He has been instrumental in the electronic time sheet implementation and we greatly appreciate his hard work.”</div><div><br></div><div>Sylva is continuing to enhance the electronic time sheet process by developing an interface with the time clock system, so that departments that use the time clock system can automatically interface that time to PeopleSoft, creating big efficiency gains. </div><div><br></div><div>There are several perks for receiving the EOQ award, a check for $500, a special employee parking space, one day of administrative leave, a certificate, his name on a plaque located on the fifth floor of the Administration building, and an invitation to the annual Service Award Ceremony for all the recipients of the quarterly award.  Sylva however declined the check for $500 as he regularly donates to the UMBC Foundation. </div><div><br></div><div><img src="http://my.umbc.edu/groups/doit/posts/53533/attachments/17818" style="max-width: 100%; height: auto;"></div><div><br></div><div>When not working at UMBC, Sylva volunteers at his daughter’s school and works on improving his IT skills.</div></div>

Our speakers have been part of MIT’s Tech TV series, and continue to be sought-after speakers on the topic of graduate funding. </em></p>

    <p><a href="https://promiseagep.files.wordpress.com/2015/06/aaas-change-behavior-forum-frances.jpg" rel="nofollow external" class="bo"><img src="https://promiseagep.files.wordpress.com/2015/06/aaas-change-behavior-forum-frances.jpg?w=630" alt="AAAS Change Behavior Forum Frances" style="max-width: 100%; height: auto;"></a>Dr. Carter-Johnson is a graduate of UMBC’s Department of Public Policy and formerly served as a STEM Policy Analyst at Westat.  Dr. Carter-Johnson has degrees in Public Policy, Applied Physics, Pure Physics, and Mechanical Engineering from UMBC, Georgia Tech, and Spelman College. She has received research support and fellowships from NASA, NSF Graduate Research Fellowship Program (GRFP), SREB, The Department of Education, GEM, the American Evaluation Association, NIH, and MIT. Dr. Carter-Johnson completed her postdoctoral training at the Teaching and Learning Laboratory at MIT, and is a Science and Technology Policy Fellow of the American Association for the Advancement of Science (AAAS). She currently designs studies and analyzes data to develop policy solutions to enhance diversity in the biomedical workforce at the Center for Scientific Review at the National Institutes of Health.</p>

    <p><a href="https://promiseagep.files.wordpress.com/2015/03/patti-o-new.jpg" rel="nofollow external" class="bo"><img src="https://promiseagep.files.wordpress.com/2015/03/patti-o-new.jpg?w=205&amp;h=300" alt="Patti O New" width="205" height="300" style="max-width: 100%; height: auto;"></a>Dr. Ordóñez  is a graduate of UMBC’s Department of Computer Science. She is an Assistant Professor at the University of Puerto Rico Rio Piedras. Dr. Ordóñez has degrees from Johns Hopkins University and UMBC in Hispanic and Italian Studies, and Computer Science respectively.  She has taught several classes at UMBC and was a Technical Trainer for UMBC’s Training Centers, focusing on JAVA Computer Programming Certifications and curriculum development. Dr. Ordóñez  was an NSF Graduate Research Fellow, and has received fellowships and/or recognition from Xerox, Verizon, Google, The Ford Foundation, The Hispanic Scholarship Fund and UMBC. Dr. Ordóñez is the Leader of Biomedical Informatics Function for the Puerto Rico Clinical and Translational Research Consortium, and her research is   focused on applying machine learning, data mining, and data visualization to big time series data for the purpose of improving medicine and on developing assistive technologies for programming. Dr. Ordóñez also presents this workshop on graduate research funding in Puerto Rico in Spanish.</p>

    <p><em>Our speakers’ work on the topic of graduate funding was presented at the “Understanding Interventions” national conference in 2012, and was published in a paper by the American Association of Engineering Education in 2013. This year, in addition to their annual workshops in Boston, their seminar, “The $10 Million Dollar Plan: Increasing Graduate Funding and Diversity in Computing” was presented at the 2014 Tapia Celebration of Diversity in Computing, in Seattle, WA. <strong>Their list of winners continues to grow, and participants who have taken their workshops have won the prestigious NSF GRFP Fellowship and other awards,  totaling more than $1 million of fellowship money! </strong></em></p>

    <h3><strong>FREE WORKSHOP FOR GRADUATE SCHOOL PREPARATION</strong></h3>
    <p>The <a href="http://www.gemfellowship.org/about-gem/gem-events-and-conferences/grad-lab/" rel="nofollow external" class="bo">GEM Getting Ready for Advanced Degrees (GRAD) Lab</a> is a program for people who are considering graduate study in STEM fields. While most of the participants in the national GEM GRAD Lab programs are undergraduates in their junior and senior years who are seeking graduate admission at either the M.S. or doctoral level, UMBC also invites freshmen and sophomores who want a head start, M.S. students who are seeking tips for Ph.D. admission, and career professionals who are considering a return to school to earn any graduate STEM degree. Special invitations are further extended to undergraduate students who attend institutions within the <a href="http://www.usmd.edu/institutions/" rel="nofollow external" class="bo">University System of Maryland</a>, and students who participate in programs such as NSF’s Louis Stokes Alliance for Minority Participation (LSAMP), the National Society of Black Engineers  (NSBE), the Society for Hispanic Professional Engineers (SHPE), the American Indian Science and Engineering Society  (AISES), the Society for the Advancement of Chicano and Native American Scientists (SACNAS), and McNair scholars.</p>
    <p>The 2015 GEM GRAD Lab at UMBC will be principally sponsored by PROMISE: Maryland’s Alliance for Graduate Education and the Professoriate (AGEP), which is funded by the National Science Foundation. <Title>Join us for the SREB (@SREBDocSch) conference, Marriott Crystal Gateway, VA, Oct. 29 &#8211; Nov. 1 #ThinkBigDiversity</Title>

    <div class="html-content"><p>It’s that time again! SREB! Participants in PROMISE attend the Southern Regional Education Board’s Compact for Faculty Diversity/Institute for Teaching and Mentoring every year. We’ve traveled together to Atlanta and Tampa, and this year, we’re going to be in Virginia. The website for “The Compact” is here: <a href="http://www.instituteonteachingandmentoring.org/" rel="nofollow external" class="bo">http://www.instituteonteachingandmentoring.org/</a>.  We repeat what we said last year, “If you went to the <a href="https://promiseagep.wordpress.com/2015/03/31/promise-summer-success-institute-ssi-august-15-2015/" rel="nofollow external" class="bo">PROMISE SSI</a> this year, think of The Compact as  quadrupled!” You will join nearly 1000 early career faculty, postdocs, and graduate students from around the U.S. at the conference.  In order to go, you need to be nominated by the PROMISE AGEP. Read some of our former posts for the SREB conference from 2011, 2012, 2013, and 2014 <a href="https://promiseagep.wordpress.com/?s=SREB+compact&amp;submit.x=0&amp;submit.y=0&amp;submit=Go" rel="nofollow external" class="bo">here</a>.</p>
    <h2><em><strong>YOU have a chance to go with us to Virginia, all-expenses paid – includes lodging. The invitation is for early career faculty (for the Faculty Diversity Research Mentoring Institute), and graduate students, but PROMISE must nominate you. You cannot nominate yourself. We will take as many people as we can, depending on funding. One year, we had so many great responses that we received additional funding and we took 30 people!</strong></em></h2>
    <p>Here are some facts about the conference:</p>
    <ol>
    <li> This is the <a href="http://www.instituteonteachingandmentoring.org/" rel="nofollow external" class="bo">22nd Institute on TEACHING AND MENTORING/Compact for Faculty Diversity</a>, October 29-November 1, 2015,<a href="http://www.marriott.com/hotels/travel/wasgw-crystal-gateway-marriott/" rel="nofollow external" class="bo"> Marriott Crystal Gateway, Arlington, VA</a>. We tend to refer to this conference as “SREB.”</li>
    </ol>
    <ol>
    <li>GRADUATE STUDENTS: Scholars nominated to attend the Institute <strong>should ONLY be individuals who have an expressed interest in pursuing a career as faculty in a college or university (any postsecondary institution.)</strong> All of the sessions at the Institute will focus on topics and issues related to teaching at the postsecondary level. Consequently, scholars who are not interested in becoming a member of the faculty at the postsecondary level will not benefit from attending this Institute.</li>
    <li>POSTDOCS and EARLY CAREER FACULTY: The PROMISE AGEP is a partner with SREB in the activities for the National Research Mentoring Network <a href="https://nrmnet.net/2015-award-announcement/" rel="nofollow external" class="bo">https://nrmnet.net/2015-award-announcement/</a>. Faculty and postdocs should be in the biomedical sciences. We have the opportunity to nominate participants from all over the country, including our alumni and colleagues from other schools outside of Maryland.</li>
    <li>Nominated graduate student and additional postdoctoral scholars must be minority or underserved STEM majors enrolled in Ph.D. program. SREB will not accept nominations from students. (We will consider select masters students who are on track for Ph.D. programs. Note that Social Sciences are part of the “Science” in STEM.)</li>
    </ol>

    <li><strong>The conference will be in Virginia. Hotel rooms will be available at no cost to you. Single rooms will not be available for scholars. Students will be placed in double rooms. </strong></li>
    <li>We will be nominating graduate students who participate in the PROMISE: AGEP-T. This means that you must be a graduate student at one of the institutions within the University System of Maryland. If you are interested, you must show evidence of participation in a PROMISE AGEP event prior to September 14, 2015.</li>

<Title>DoIT Updates Regular Bb Maintenance Schedule</Title>

    <div class="html-content">We are pleased to share the updated maintenance schedule for Blackboard, reflecting<span> both healthy maintenance and scheduled upgrade activities. </span><div><span><br></span></div><div><span>Previously, UMBC <a href="http://www.umbc.edu/blogs/oit-news/archives/2007/09/weekly_blackboa.html" rel="nofollow external" class="bo">scheduled downtime downtime</a> for </span>monthly <span>server updates and planned major software updates once per year. Our revised schedule ensures an overall system roadmap of consistent quality checks to address audit fixes, tool tweaks, and core updates with minimal or reduced disruption of service for the majority of our users.</span><div><br></div><div><div><strong>When</strong>: Weekly, <span>Friday mornings, </span><span>2 AM - 6 AM</span></div><div><strong>Why</strong>: Routine data center maintenance</div><div><strong>What happens</strong>: No downtime. In a rare scenario, users could notice minor connectivity issues. We advise students to save their work frequently and avoid taking tests if possible.</div><div><span><br></span></div><div><span><strong>When</strong>: Monthly, </span><span>Saturday mornings, </span><span>2 AM - 5 AM</span></div><div><strong>Why</strong>: Updates to core tools and services as required by Blackboard</div><div><strong>What happens</strong>: No downtime, yet requires a rolling restart. Users should not notice any disruption in service, but we advise students to save their work frequently and avoid taking tests if possible.</div><div><span><br></span></div><div><span><strong>When</strong>: Twice per semester, </span><span>Saturday mornings, </span><span>2 AM - 5 AM</span></div><div><strong>Why</strong>: Audit fixes, c<span>umulative updates as required by Blackboard. </span></div><div><span><strong>What happens</strong>:</span><span> </span><span>Typically 3-hours downtime. </span><span>Users will be unable to access the system during this maintenance window.</span></div><div><br></div><div><strong>When</strong>: Twice per year, usually between major semesters (May / December). <span>Date to be posted at least 30 days in advance.</span></div><div><span><strong>Why</strong>: </span><span>Major updates as required by Blackboard</span></div><div><span><strong>What happens</strong>:</span><span> </span>Typically 15-hours of  downtime. <span>Users will be unable to access the system during this maintenance window.</span></div></div><div><span><br></span></div><div><span>The UMBC Blackboard team makes every effort to identify a day and time period that should have the least impact on our users. We also attempt to notify the campus at least 5 days in advance of short downtimes; however, at times unanticipated maintenance windows are necessary to address important updates for optimal system performance.</span><div><br></div><div>During the Spring semester, UMBC's Blackboard site benefited from a 99.99% uptime. Planning ahead with routine application updates and server check-ups helps maintain our Blackboard site. <span>We appreciate your patience as we continue to improve our systems to bring you a better Blackboard experience.</span></div></div></div><div><span><br></span></div><div><span><strong>UPDATED JULY 2017:</strong></span></div><div><span>Following <a href="https://doit.umbc.edu/news/?id=66298" rel="nofollow external" class="bo">the migration to Blackboard's cloud services</a>, the major software updates that occur twice a year should no longer require lengthy downtimes. </span><span>Some tools and services may be slower to respond as those backend processes restart across supporting servers. On a rare occasion during these biannual updates, Blackboard may take the system down for 1-2 hours for infrastructure updates.</span></div></div>

    has become increasingly important as we prepare our students for successful
    futures. President Hrabowski has reinforced the importance of financial literacy
    in ensuring the wellness of all members of our campus community. The UMBC Financial
    Literacy Workgroup has developed a wealth of educational resources including <a href="http://www.google.com/url?q=http%3A%2F%2FFinancialsmarts.umbc.edu&amp;sa=D&amp;sntz=1&amp;usg=AFQjCNEOZtdIqPZ1REHy0N8h8OqDwgjxKg" rel="nofollow external" class="bo">Financialsmarts.umbc.edu</a> to promote and support financial
    wellness.</p><p>Our next step is the
    development of a directory of on-campus experts who can present on related
    topics (e.g., managing bank accounts, living on a budget, credit, starting a
    career, basic investing) to interested groups. We encourage you to consider
