    <br><p><span>We hope everyone is practicing good hygiene and taking care of themselves. If you use </span><a href="https://retrieveressentials.umbc.edu/" rel="nofollow external" class="bo"><span>Retriever Essentials</span></a><span> or are experiencing food insecurity, OCSS wants to make sure that you are informed about healthy local food options. With the </span><a href="https://www.baltimoresun.com/coronavirus/bs-md-stay-at-home-document-20200330-54bdwlwzgbeanly54akhuzsyf4-htmlstory.html" rel="nofollow external" class="bo"><span>executive order being enacted by Governor Hogan regarding COVID-19</span></a><span>, it is important to utilize local resources to limit excessive travel outside of your home.</span></p>

    <h5>Business Continuity and Staff Support</h5>

    <li>Human Resources has a new comprehensive <a href="https://hr.umbc.edu/human-resource-covid-19-faqs/" rel="nofollow external" class="bo">FAQ page</a> for employees and supervisors. </li>
    <li>Over the coming weeks, ABM will be cleaning out food that has been left in common area refrigerators in order to avoid food spoilage and maintain a healthy environment. ABM will throw away loose food such as fruits and vegetables as well as any containers of food that have been left behind. Any lunch bags or small coolers containing food will also be thrown away. Condiments will be left in the refrigerators. ABM will not remove anything from freezers and will not empty refrigerators located in offices or labs.</li>

    <br><p><span>Business Continuity and Staff Support</span></p>

    <li><p><span>On April 2-3, ABM will be cleaning out food that has been left in common area refrigerators in order to avoid food spoilage and maintain a healthy environment. ABM will throw away loose food such as fruits and vegetables as well as any containers of food that have been left behind. Any lunch bags or small coolers containing food will also be thrown away. Condiments will be left in the refrigerators. ABM will not remove anything from freezers and will not empty refrigerators located in offices or labs.</span></p></li>
    <li><p><span>Human Resources has a new comprehensive </span><a href="https://hr.umbc.edu/human-resource-covid-19-faqs/" rel="nofollow external" class="bo"><span>FAQ page</span></a><span>for employees and supervisors. </span></p></li>
    <li><p><span>Effective earlier this week, the University implemented a hiring process pause for the recruitment of all staff (non-faculty) positions. With the majority of employees working remotely, we are not able to effectively welcome and onboard new staff members at this time. <Title>Update on Refund Process</Title>

    <div>Dear Students,</div>
    <div><br></div>
    <div>As you know, we have been developing a plan to compensate students and their families for costs they have already paid for services and facilities that they will no longer be able to take advantage of given the University’s necessary shift to distance education. We are happy that the <a href="https://www.usmd.edu/newsroom/news/2011" rel="nofollow external" class="bo">University System of Maryland Board of Regents</a> gave us their approval to refund room, board, and certain fees, on a pro rata basis, to students who are not on campus due to the COVID-19 pandemic. This allows us to begin moving forward with the process of providing refunds to our students. </div>
    <div><br></div>
    <div>The pro rata refund for UMBC students will be for room and board, which includes meal plans, and the following fees: Athletics and Recreation, Commons, Auxiliary Facilities, Parking and Transportation, and Student Activities (both undergraduate and graduate).</div>
    <div><br></div>
    <div>After we calculate each student’s refund amount, refunds will show up as credits to student accounts, and will be applied first to any outstanding balances. Remaining balances will likely be disbursed to students using our refund partner, BankMobile, through the student’s preselected refund preference. We hope to be able to provide refunds by the end of April. However, students without BankMobile profiles will be refunded via payment requests through the State.</div>

    <div>We would like to thank everyone who reached out to share their thoughts and concerns with us over the past few weeks. We know this is an uncertain time, and we are committed to being as flexible and available as possible as we work to support the health of our community and the academic progress of our students.</div>

<Title>Effective practices for managing the live virtual classroom</Title>

    <div class="html-content"><span><p><span>Keeping your classroom on topic and safe from trolling shouldn't be something you have to worry about when teaching. Unfortunately, misbehavior can and does happen. These tips should help you keep your class on track and safe from disruption when using Collaborate or Webex for live, remote instruction. (Many of these tips are applicable to business meetings.)</span></p>
    <ul>
    <li><p><span>Avoid sharing your guest link via email or social media. The guest link allows anyone to access a meeting so if a stranger clicks the link, that person can also join. </span></p></li>
    <ul>
    <li><p><span><strong>Collaborate</strong>: Tell students to </span><a href="https://wiki.umbc.edu/x/E4I6B" rel="nofollow external" class="bo"><span>use the Course Room link or specific session</span></a><span> that's available in the Blackboard course unless you have no other means to get the link to them. Do not share the guest link. The Collaborate link is associated with your student usernames for </span><a href="https://wiki.umbc.edu/x/pwfBBQ" rel="nofollow external" class="bo"><span>tracking attendance</span></a><span> while the guest link lets students enter any name and share the link with other people. <em>Do not share the guest link with students!</em></span></p></li>
    <li><p><span><strong>Webex</strong>: Limit the use of your personal meeting room for class or large meetings </span><a href="https://wiki.umbc.edu/x/aATBBQ" rel="nofollow external" class="bo"><span>by generating a new session link</span></a><span> per meeting through the Google Calendar integration. A passcode is automatically added for extra security. This link cannot be shared since it is uniquely coded to each invited person.</span></p></li>
    </ul>
    <li><p><span>If you do have a disruptive participant in the session, you can remove that person.</span></p></li>
    <ul>
    <li><p><span><strong>Collaborate</strong>: </span><a href="https://help.blackboard.com/Collaborate/Ultra/Moderator/Moderate_Sessions/Manage_Attendees#remove-attendees_OTP-10" rel="nofollow external" class="bo"><span>Remove Attendees</span></a></p></li>
    <li><p><span><strong>Webex</strong>: </span><span><a href="https://help.webex.com/en-us/WBX30745/How-Do-I-Expel-a-Meeting-Participant" rel="nofollow external" class="bo">Expel a Participant</a></span></p></li>
    </ul>
    <li><p><span>Take note of the default settings participants have to share their screen. Unlike Zoom, both Collaborate and Webex do not allow participants to share by default.</span></p></li>
    <ul>
    <li><p><span><strong>Collaborate</strong>: Only </span><a href="https://wiki.umbc.edu/x/WgfBBQ" rel="nofollow external" class="bo"><span>moderators and presenters</span></a><span> can share their screens. Participants must be </span><a href="https://wiki.umbc.edu/x/YoQWB" rel="nofollow external" class="bo"><span>promoted to presenter</span></a><span> to share their screen with the room.</span></p></li>
    <li><p><span><strong>Webex</strong>: Default settings in Webex prevent attendees from sharing their screen unless the host allows. To allow an attendee to share their screen, right click on the attendee and </span><a href="https://help.webex.com/en-us/noyihh6/Make-Someone-the-Host-in-Cisco-Webex-Meetings" rel="nofollow external" class="bo"><span>select Make Presenter</span></a><span>.</span></p></li>
    </ul>
    <li><p><span>Chat, voice, and webcam functionality IS available by default to participants. Collaborate and Webex handle these settings differently.</span></p></li>
    <ul>
    <li><p><span><strong>Collaborate</strong>: You can </span><a href="https://help.blackboard.com/Collaborate/Ultra/Moderator/Schedule_Sessions/Session_Settings#settings-you-can-change-during-a-session_OTP-3" rel="nofollow external" class="bo"><span>disable these functions</span></a><span> by default through the Session Settings before or during a live meeting. Ask students to raise their hands in the session if they want to speak and then </span><a href="https://wiki.umbc.edu/x/YoQWB" rel="nofollow external" class="bo"><span>promote them to presenter</span></a><span>. Once they are finished, you can demote them back to participants.</span></p></li>
    <li><p><span><strong>Webex</strong>: You can control the permissions your attendees have when scheduling the meeting </span><a href="https://webex.umbc.edu/" rel="nofollow external" class="bo"><span>via the web</span></a><span>. Under Attendee Privileges, default settings allow attendees to view participants, request remote control, and participate in private chats with presenters, hosts, and other participants. Once in the meeting, the host has the power to </span><a href="https://help.webex.com/en-us/r2cdv1/Mute-or-Unmute-Others-as-a-Host-in-the-Cisco-Webex-Meetings-Suite" rel="nofollow external" class="bo"><span>mute other participants</span></a><span> or </span><a href="https://help.webex.com/en-us/WBX56449/How-Do-I-Disable-Automatic-Switching-of-the-Video-Panel-when-a-Participant-Speaks" rel="nofollow external" class="bo"><span>disable individual video feeds</span></a><span>.</span></p></li>
    </ul>
    <li><p><span>Turn off private chat. </span></p></li>
    <ul>
    <li><p><span><strong>Collaborate</strong>: This </span><a href="https://wiki.umbc.edu/x/FgRfB" rel="nofollow external" class="bo"><span>setting must be disabled</span></a><span> in Collaborate BEFORE the live session. Turning it off prevents someone from messaging another participant during the live session.</span></p></li>
    <li><p><span><strong>Webex</strong>: By default, chat is enabled. When scheduling the meeting </span><a href="https://webex.umbc.edu/" rel="nofollow external" class="bo"><span>via the web</span></a><span>, you can disable chat through Advanced Options. The meeting options allow you to disable public chat while attendee privileges allow you to turn off private chat.</span></p></li>
    </ul>
    <li><p><a href="https://www.insidehighered.com/news/2020/03/26/zoombombers-disrupt-online-classes-racist-pornographic-content" rel="nofollow external" class="bo"><span>Don’t use Zoom</span></a><span>: It’s not licensed or supported by UMBC.</span></p></li>
    </ul>
    <p><span>Additionally, you and your class may want to observe some general tips for presenting and attending in a live session:</span></p>
    <ul>
    <li><p><span>Establish expectations early. Review any </span><a href="https://umbc.coursearc.com/umbc/elearning-resources/start-here/netiquette/" rel="nofollow external" class="bo"><span>netiquette guidelines</span></a><span> with your students.</span></p></li>
    <li><p><span>Remind students to check their microphone buttons in the session. When participants do not need to talk, they should turn their microphones OFF.</span></p></li>
    <li><p><span>Be patient during a live session, especially if your class is large. A co-moderator is essential to manage large numbers. Tell students to raise their hands if they have a question or use chat. Some instructors have students use private chat to ask a moderator a question directly.</span></p></li>
    <li><p><span>Remind students that their peers and/or instructor are also working from home and they may have children in the same space. Let your audience know if content will be sensitive, especially if you think minors may be in the background. </span></p></li>
    <li><p><span>Anyone who is asked to share video should check the background area to avoid inappropriate content within view.</span></p></li>
    <li><p><span>Be aware of ambient noise (televisions, barking dogs, flushing toilets, doorbells). If someone is speaking, make sure people in the space around know not to interrupt.</span></p></li>

<Title>Adjustments to Faculty Promotion Timelines and Processes</Title>

    <div>In recognition of the extraordinary circumstances we are experiencing, and in an effort to mitigate some of the impact on our faculty, including librarian faculty, we are instituting the following policy modifications related to the Promotion and Tenure (P&amp;T) process for current tenure-track and librarian faculty. Please note that this is an evolving situation and we know additional measures may be warranted and will be communicated.</div>

    <h5>Modifications for Tenure-Track Assistant Professors</h5>
    <div>Upon request, all Assistant Professors <em><strong>who have not yet</strong> undergone third-year contract renewal</em> will be granted a one-year extension for their contract renewal review. Per UMBC’s usual protocol, Assistant Professors who request this extension and successfully complete their third-year contract renewal will be automatically granted a one-year extension for their promotion and tenure review.</div>

    <div>Upon request, all Assistant Professors <em><strong>who have successfully completed</strong> their third-year contract renewal</em> will be granted a one-year extension for their promotion and tenure review.</div>

    <h5>Modifications Related to the Use of Spring 2020 Teaching Evaluations in P&amp;T for all Tenure-Track, Tenured, and Full-Time Instructional Faculty</h5>
    <div>Spring 2020 Student Evaluation of Educational Quality (SEEQ) <strong><em>may not be used for any evaluative purpose</em></strong> for the P&amp;T review of any tenure-track, tenured, or full-time instructional faculty member, including scheduled third-year contract renewals of pre-tenure faculty. This includes Assistant Professors being considered for promotion and tenure to the rank of Associate Professor, Associate Professors undergoing review for promotion to the rank of Professor, Lecturers undergoing review for promotion to the rank of Senior Lecturer, and Senior Lecturers undergoing review for promotion to Principal Lecturer.</div>

    <div>Spring 2020 SEEQs may not be included in P&amp;T dossiers or used in any aspect of such promotion reviews now or in the future. The Provost will issue instructions to all relevant P&amp;T review bodies consistent with this policy modification. Faculty may wish to choose to reflect upon their Spring 2020 teaching experiences in their self-assessment; however, the absence of such reflection may not be considered a negative indicator of faculty performance.</div>

<Title>Retriever Essentials Items at Campus Police and True Grit</Title>

    <p>Dear UMBC Community,</p>

    <p>At the present time, the Retriever Essentials Food Pantry is closed for visitors. However, if you need food and toiletry items, <strong>the UMBC Campus Police Department has pre-packed bags of nutritionally balanced nonperishable food and travel size toiletry items.</strong> Contact the Campus Police at (410) 455-5555. Address: UMBC Police Department 1000 Hilltop Circle Baltimore, MD 21250. The UMBC Police Department is located across the parking lot from the Performing Arts and Humanities Building (PAHB).</p>
    <p> </p>
    <p>True Grits will be serving food through April 5, no other dining locations are currently open. They will serve Lunch (10:30 to 1:30) and Dinner (4:30 to 6:30).  All food will be served in to-go containers and must be eaten elsewhere. <strong>True Grits will also be hosting essential items</strong> <strong>during these operation hours for those in need</strong>. The essential items include nonperishable food and toiletries.   </p>
