<Title>Cybersecurity Awareness Month: Avoid Phishing Attacks</Title>

    <div class="html-content"><span><h3><strong>Phishing</strong></h3><p><span>Phishing is the use of deception to acquire passwords, credit card numbers, or other sensitive information from a user. There are many phishing mediums including SMS messages (Smishing), voice calls (Vishing), and email which is the most common phishing medium. Within emails, users should be wary of malicious URLs or attachments.</span></p><p><span> </span></p><p><span>Phishers typically pose as a trusted entity, such as a system administrator or service provider, in order to scam their victims. Often, these messages will ask for the user to communicate in some other means; for example, a message may request that a victim send an SMS message to a specific number or reply using a personal email address. On sites that ask you to provide personal information like your credit card, look for “https” in the address bar to ensure the site is secure. <Title>RT Security Update</Title>

    <div class="html-content"><div>Over the last 10+ years DoIT has developed nearly 200 forms for various offices across campus, providing enhanced business processing options. These forms deliver a better user experience, and a more efficient process while also allowing information to be captured in a structured manner prior to the creation of an RT ticket. </div><div><br></div><div>On the evening of 6/23/2020, DoIT applied a security enhancement to address a new issue, referred to as clickjacking, from within these forms. The goal was to provide the necessary security enhancement transparently, with no interruption to campus users. </div><div><br></div><div>The DoIT team of Collier Jones, Jacob Lutz, and Paul Riddle collaborated earlier this summer to develop the strategy to deal with this security concern. Once the strategy was determined, Jacob Lutz architected a solution that avoided a major effort of individually adjusting each form used by the community. </div><div><br></div><div>While the majority of users were not impacted after the security solution was applied, we were alerted that a few older forms reacted adversely to the change. Jacob was able to resolve the 2 incidents identified very quickly.</div><div><br></div><h5>How do RT forms and authentication work? </h5><div><br></div><div><ul><li>Authentication is enforced for all UMBC software via Single Sign On. Most campus users experience this as they log into myUMBC.</li><li>Once you have authenticated in a browser session (logged in) you are able to open up many tabs accessing various UMBC software without being prompted to log in. </li><li>If you are already logged in somewhere in a browser session with your UMBC information when initiating a RT form, you will not see any change at all. </li><li>In the past, if the RT form was the initial software to be accessed within that browser session, you would be prompted to login via the normal login prompt below.<img src="https://my3.my.umbc.edu/groups/doit/posts/94009/attachments/36174" width="70%" style="max-width: 100%; height: auto;"></li></ul></div><div>Now, however, if the RT form is the initial software to be accessed within that browser session, with the new security, you will be presented with a new Login prompt below. </div><div><br></div><div><img src="https://my3.my.umbc.edu/groups/doit/posts/94009/attachments/36175" style="max-width: 100%; height: auto;"></div><div><br></div><div>Upon clicking this Login button a new tab will be created and you will be provided with the familiar, normal login prompt below. <Title>5-4-2020 DocuSign Limit Exceeded issue</Title>

    <div class="html-content">UMBC offices are leveraging DocuSign at a rapid adoption rate, especially since COVID-19, and today we experienced an issue related to the volume of requests.<div><br></div><div>For those who experienced the error below please know that <span>DoIT has worked with our vendor, DocuSign, to get a volume increase to handle our new peak load requests and there should be no issues going froward. </span></div><div><span><br></span></div><div><span>"errorCode": "HOURLY_APIINVOCATION_LIMIT_EXCEEDED",
      "message": "The maximum number of hourly API invocations has been exceeded. The hourly limit is 1000."</span><br><div><br></div></div><div>The normal limit of 1,000 has proven sufficient for normal processing. <Title>RT - NEW tagging option for tickets</Title>

    <div class="html-content"><div>Whether it's a blog, a wiki, or even Twitter, when you have a system with a lot of information, some method of tagging that information with easy-to-remember words or phrases makes it much easier to find. RT (Request Tracker) already provides a large amount of metadata to categorize and find tickets including the queue they are in, various dates associated with ticket activity, status, and content like the subject and correspondence. But often you want some way to categorize tickets within a queue into sensible groups.</div><div><br></div><div>You can add custom fields to track well-defined attributes and many users add multiple fields to fully describe and categorize tickets. But in some cases a defined drop down list may not be flexible enough. You can allow free-form entry, but that can result in many different variations on what are really the same value, like bug, bugs, issue, and defect all to categorize a bug ticket.</div><div><br></div><div>BestPractical, our RT vendor, has released a new extension for tagging which DoIT has applied. This new extension will provide a simple tagging mechanism that solves both issues. It provides free-form entry, but with autocomplete so as you start typing you can see similar values that may already exist. If you do need a new value, just type it in and RT will recognize that it's new and add it to the list so other users will now see it via autocomplete in the future. And once the values are added, they become links making them<span> available for search and reporting. </span></div><div><br></div><div>Please note that tags are only available to support staff for the queue. It is an optional entry but if you do chose to add a tag it is delimited by a space. For example<span> </span><strong>CamelCase<span> </span></strong>would be a<span> </span><strong>single tag</strong><span> </span>whereas<span> </span><strong>Camel Case</strong><span> </span>would be considered<span> </span><strong>two tags</strong>. <Title>Digital Workflow Promotes More Comunication and Efficiency</Title>

    <div class="html-content"><div><span>For months now, newly accepted students have been facing the
    important decision of where to attend college. For most, one of the biggest
    factors will be how much money they are able to secure in financial aid. In
    order to help students make this crucial, time-sensitive decision, the </span><span><a href="https://financialaid.umbc.edu/" rel="nofollow external" class="bo"><span>Office of Financial Aid and Scholarships</span></a></span><span> (OFAS) at UMBC makes it a top priority to provide students
    with all the information and resources they need as soon as possible.</span><span><br></span></div><div><span><br></span></div><div><span>To do so, OFAS has picked up DocuSign, the electronic
    signature and digital workflow platform being utilized all throughout UMBC. By
    converting numerous key forms to DocuSign, OFAS hopes to expedite and simplify
    the process of securing financial aid for both students and staff. This
    includes giving students and parents direct, immediate access to the
    Scholarship Agreement, Loan Increase, Dependent Verification and other such
    forms through a secure email. The signer can then follow useful tooltips that
    guide them step by step through the form before sending it on its way with just
    a click of the mouse. A process that once took many days can now be completed
    in mere hours as DocuSign uses notifications and reminders to encourage rapid
    compliance. <br></span></div><div><br></div><div><span>OFAS staff worked hard with the </span><span><a href="https://doit.umbc.edu/" rel="nofollow external" class="bo"><span>Division of
    Information Technology</span></a></span><span>
    to make these forms as intuitive as possible. For starters, these forms can
    pull information from UMBC databases and PeopleSoft to prepopulate numerous
    fields before the student even opens the document. Once the student enters the
    form, the fields that haven’t been filled out for them will contain restrictions
    such as character limits and formatting guides that can prevent the student
    from submitting the form with incorrect information. If mistakes do make it
    through, OFAS staff can terminate the form and resend it immediately along with
    an email clarifying what needs to be fixed. Compliance Specialist <strong>Joe Scott </strong>says that this flexibility
    along with quick communication makes it much easier to process these forms
    efficiently while also improving the experience for students and parents.</span><span><br></span></div><div><span><br></span></div><div><span>Associate Director <strong>Cory
    Ziegenfuss </strong>praises the significant reduction of time and paper spent
    signing, processing and storing these forms. Staff can assign the resources
    they’ve saved using DocuSign on other projects, thus improving the overall
    efficiency of the department. </span></div><blockquote><blockquote><blockquote>
