This process is the second phase of a 2-step process recommended by Blackboard in order to fix the previously reported spikes in database utilization. The first phase, replacement of a key database function, was completed on February 11. DoIT staff are hopeful that the completion of this second step will resolve any lingering Blackboard performance issues.

We are sorry for the inconvenience of this temporary downtime, and we thank you for your cooperation and patience.

UMBC Email Problems on February 9

<Tagline>Results of Review of Email Problems on February 9th</Tagline>

Last Wednesday afternoon, Feburary 9th, DoIT experienced a mail system error on one of UMBC's major mail servers used for sending mail. This caused mail trying to be sent from UMBC to be delayed and it might have resulted in mail in being destined for UMBC to be deferred by as much as 8 hours.

The problem resulted when an outside vendor network engineer was troubleshooting a problem with our campus firewall management server. He was working on a problem where these firewall management devices were not properly sending mail notifications. These notifications are required by the legislative and USM auditors. Their engineer made a configuration error that caused the firewall management server to flood our mail servers with thousands of mail messages. The mail server is designed to defer mail from the sending host when it sees a host flooding it with mail; however the engineer had also misconfigured the hostname to be to be the same as one of our major mail systems, causing the sending mail servers to defer mail from that legitimate system as well.

We got notification of the error when users contacted the help desk. They paged our the system administrators responsible for mail who got this resolved; however it took a little time to figure out why this strange situation occurred and get the network firewall management server reconfigured.

The impact of this was that for those using UMBC email servers. There was about a one in four chance mail being sent out or received was deferred. Service was restored about 4 hours after it was reported. Students and others using our Google Mail for UMBC were not impacted but some mail being sent from Blackboard to class lists was delayed. By early morning on the 10th all email systems had returned to normal.

DoIT understands that email is a critical campus service. We have taken steps to work with the external vendor and also reworked our own mail processing scripts so that this kind of situation can't happen again. We are very sorry for any inconvenience this caused.

UPDATE:Microsoft Blocking UMBC Mail

UPDATE Feb 15, 2011: Microsoft has lifted their block on mail originating from UMBC.

    ---------------------------------------------------------------------------------------------

Over the weekend a departmental desktop machine was compromised and it subsequently sent over 500,000 spam messages in less than 24 hours. The end result is that all Microsoft mail (e.g. Hotmail, Live.com, MSN) is blocking mail originating from UMBC mail servers.

The single caveat is that anyone who moved their mail to Google@UMBC remain unaffected by the block imposed by Microsoft. Anyone still on the existing UMBC (Cyrus) mail will be impacted by this block.

Unfortunately, Microsfot is extremely aggressive in blocking anyone they view as a spam source. To complicate matters further they won't work directly with UMBC in resolving issues. The end result is that most of the time legitimate mail sent to Hotmail users from UMBC is simply blocked. This has created a number of issues for various offices on campus that need to communicate with existing and prospective students.

We entered requests to have this block removed using Microsoft's automated interface. The site currently states that the block with be lifted in approximately 48 hours.

The CMA demo was part of EQ's special focus on student retention, and includes new information comparing how students use Blackboard by final grade distribution in all 1,461 Spring 2010 Blackboard courses. Specifically, D & F students used it 47 percent less than students earning a C or better, which is similar to results from previous semesters based on much smaller samples.
Known Issue: Bb Course Auto Enrollment (RESOLVED)

The auto enrollment script that takes students who are officially enrolled in SA and places them into the corresponding Blackboard course shell stopped working on Thursday, Jan. 13. It was restarted as of 12 pm, Tuesday, Jan. 25.

Typically the Blackboard servers receive students enrollment data from the SA system multiple times daily; in this instance the data feeds were no longer being sent from SA to Blackboard. DoIT staff have identified the issue and are working on the creation of business processes to ensure that this does not happen in the future.
