Qualtrics Survey Tool Launched for CAHSS The Division of Information Technology (DoIT) is happy to announce the release of Qualtrics, an online survey instrument, for the College of Arts, Humanities and Social Sciences (CAHSS). Beginning March, 4, 2013 all departments, centers and programs that are part of CAHSS will be eligible to use this tool. This includes all associated faculty, staff and students (with a declared major or minor under a CAHSS department). The pilot is scheduled for one year.

Background
DoIT has been using Qualtrics for over a year. We use the tool for all of our surveys, most notably the survey attached to the bottom of each resolved RT ticket. This tool was used heavily during the 2012 UMBC campus wide retreat with great success. Recently several faculty from various CAHSS departments expressed an interest in accessing DoIT's pilot of Qualtrics as many of them pay for various online survey tools (e.g. Qualtrics, Surveymonkey, Zoomerang) annually at approximately $500 per faculty member. Unfortunately, DoIT’s license agreement does not allow us to add non-DoIT staff to our instance of Qualtrics.

DoIT  is sponsoring a one year pilot for all faculty, staff and students that are part of the CAHSS. We are hopeful the product and its use will produce a compelling business case for the College to continue funding beyond year 1. If there is no interest beyond year one we simply won't renew the contract.

DoIT has been working with Blackboard on an issue that requires maintenance and a restart of our main production server this Friday, March 15, at 6 to 9 p.m.

Normally, we would wait until our regular, weekly scheduled maintenance of 10 p.m. to 1 a.m. on Fridays. However, since we want to continue working with the same Bb support team, and the campus will be starting Spring Break, we want to get an early start to implement and begin monitoring the fix.

In addition, we will be applying the latest bundles and patches that we would have done on March 29, the first Friday after Spring Break (also Good Friday).

No matter what, we need to do this maintenance on March 15, but if the earlier, 6 p.m. start presents a significant disruption, please send email to fritz@umbc.edu.

Please make note of these changes as they will affect your ability to access WT2013 courses.

  1. As of 2/25 anyone needing to access the WT2013 Bb server from off campus needs to log in to the VPN first.
  2. The WT2013 Bb server will be taken completely offline on Friday, 3/15.
  3. WT2013 courses will be restored on the UMBC Bb production server by Friday, March 29.  Please note that there will be approximately two weeks when WT2013 courses will be completely unavailable to faculty and students.  We encourage you to download a copy of your grade center, and any other content that you might need to your local machine. If instructors have students finishing incomplete grades, and students must have continuing access to their WT2013 course over spring break, the instructors should put in an RT ticket request prior to Thursday, March 14.

Digital Measures is a commercial software product that will replace the Faculty Annual Report (FAR) in Calendar year 2014. Based on input from the Deans, we have decided to try a pilot implementation in 2013. As part of this pilot, there are nine departments using Digital Measures in lieu of the current FAR. The nine departments are Information Systems, Geography and Environmental Systems, Gender and Women’s Studies, JCET, and the five departments in the College of Natural and Mathematical Sciences (CNMS).

This memo will outline the process for the pilot departments. ALL OTHER DEPARTMENTS WILL USE THE ORIGINAL myUMBC FAR.  The due date for both Digital Measures reports and the FAR will be April 10, 2013.

The main difference between Digital Measures and the FAR is that we are loading data regarding individuals into Digital Measures. As a result, we will load teaching data, grants data, and demographic information on file into the system. If you notice an error, you will be asked to let us know by submitting an RT ticket, so that we can track and correct the problem using the current system of record.

During the pilot implementation, faculty (as they have done in the FAR) will be expected to enter into Digital Measures their scholarly and creative accomplishments, service work, and other activities that are not tracked by our official systems.

For support, we hired FosterKnowledge consultants Susan Dawson, sdawson@umbc.edu and Marni Blachowitz, marnibl@umbc.edu. Susan developed training for the UMBC SA project.  Based on early feedback with some faculty that we have worked with, we believe most faculty will find this web-based package straightforward to use; however if any faculty member feels they need additional support we will be glad to provide assistance.

We will modify the start screen on the existing FAR so that faculty participating in the pilot implementation will be alerted to use the link specified for Digital Measures instead of the older FAR.

What follows is the timeline for the rollout this spring:

  1. Week of March 4  -- we will have the system available for faculty to sign in  and review basic demographic data. There will be some basic orientation videos available on how to sign in and interact with the software.
  1. Week of March 11 - we will have all  teaching data available.
  2. During the month of March we will have support available to answer any questions  and work with faculty one-on-one should they need help.
  3. In early May we will issue a survey to faculty asking for feedback and ways that we can improve the process for next year.

Bb Instructors are encouraged to compare their official course rosters in Peoplesoft, with the list of users enrolled in their Bb courses.  If they find students who have officially dropped the course but who are still listed in Bb, they can either change the student's availability to "unavailable", or they can remove them completely from the Bb course.  If students find they are still listed in a Bb course that they have officially dropped, they should submit an RT ticket and ask to be removed.

Jim Keys has put together this “Top 10 Best Practices” list based on his years of working with faculty/staff and the Scantron process. We also encourage users to look at the Scantron related FAQ's for more information.

  1. Check with your Department about purchasing Scantron forms.  The UMBC Bookstore has the current forms that our Scantron machine reads.
  2. Use a number 2 pencil to fill out the answer key.  After all answer keys have been bubbled in, please make sure to use AA00000 for the Campus ID field for ALL exam keys. If you have multiple versions of an exam and also multiple keys, use Column K (under the Special codes section on the Scantron form) to designate the exam version that corresponds to that key.  Make sure to tell the students to indicate which version of the exam they are taking on their Scantron form, so that they may be graded correctly.
  3. Remind students to use a number 2 pencil and to fill in their own Campus ID in the lower left corner of the Scantron form.  The Scantron software recognized students my Campus ID, not by name.
  4. When Scantron forms are collected please make sure that all forms face the same directions, with all keys placed on top.
  5. A new Testbook Form cover sheet must be placed on top of each exam submitted for grading.  The cover sheet can be downloaded ffrom this FAQ article: https://wiki.umbc.edu/x/EgGRAQ.
  6. Please make sure to fill out all information on the form (most importantly the course/section portion).  If you neglect to indicate the grading method desired (percent or points), your exam will be graded using points.
  7. Prior to submitting your exam, place the Scantron forms in an interoffice envelope.  If there are too many to fit in one envelope, use multiple envelopes and include your name and course/section on each.  Exams may be dropped off with a full time Instructional Technology staff member in suite 101, Engineering Bldg. between 8:30 am and 4:30 pm.  *Under no circumstances should Scantron forms be left on an unattended desk or chair *. If no one is available to receive your exam (or if you teach in the evening), place the envelope in the secure drop slot next to the door of room 004, Engineering Bldg.  There are intercampus envelopes and Testbook cover sheets on the door of 004 if needed.  If you use the secure drop slot, we request that you enter an RT ticket alerting us that you have done so.  Make sure to include the instructor's name, and the course name and section in the ticket.
  8. Once the exam is scanned and scored, the resulting CSV file (and SDF file if requested) will be placed in a Scantron folder in the files portion of the Blackboard shell associated with your class.  At this time you will receive an RT ticket resolution email alerting you that the exams have been completed.
  9. Please remember that there is a 48-hour turn around time on all exams.  Though DoIT staff may often complete exam scoring sooner, this is not always possible due to volume.
  10. Finally, and most importantly, PLEASE COME BACK AND PICK UP COMPLETED EXAMS!  .
