<Title>Collaborate with Classmates via Virtual Study Spaces</Title>

    <div class="html-content">This summer, students have a new option for virtual collaboration: Study Spaces powered by <a href="https://wiki.umbc.edu/x/OoKgAw" rel="nofollow external" class="bo">Blackboard Instant Messenger</a>.<div><br></div><div><div>Blackboard Instant Messenger (IM) is an academic-centric instant collaboration app designed to promote learning and support virtual group work. Blackboard IM synchronizes with our Blackboard Learn course enrollments, which means that students are automatically connected with other Blackboard IM users enrolled in the same courses. </div><div><br></div><div>Blackboard IM includes a range of features to allow everyone to collaborate and communicate quickly and easily.</div><div><ul><li><span>Chat via keyboard to communicate quickly and efficiently with your classmates</span></li><li><span>Call via audio or video for more natural communication with one-on-one or group conversations</span></li><li><span>Collaborate in real time to share ideas with others</span></li><li><span>Screen Share for real-time display of any document or application on your computer</span></li><li><span>Use whiteboard tools to annotate PowerPoint and images</span></li></ul><div>Faculty and departments can use Blackboard IM to set up virtual office hours and <a href="https://wiki.umbc.edu/pages/viewpage.action?pageId=60850837" rel="nofollow external" class="bo">virtual support centers</a>, allowing queues for individualized attention.</div></div></div><div><br></div><div>Blackboard IM is similar to many other instant messaging tools including Skype, Google Talk, AIM, Windows Live, etc., however, Blackboard IM is fully integrated into the Blackboard Learn system. Each semester, courses will synchronize and provide a robust contact list. There's no need to figure out what app to use for chatting or keep track of everyone's logins and handles -- Blackboard IM will be ready! Just login and start collaborating. </div><div><br></div><div>Need to work on a big group project? Practice a presentation with a partner? Study with a classmate for a test? <Title>Reminder: Campus Website Upgrade This Saturday Morning</Title>

    <div class="html-content"><p><span>We wanted to remind everyone that on <strong><span>Saturday June 13th</span> around 8am</strong> we will be migrating the main campus website environment so it is running on new hardware and software. This past fall an emergency preparedness exercise was conducted by the campus and it became clear that in the event of an emergency one of our main methods of communications, the campus web server, would be unable to respond to the demands placed on it. The new web environment will be running a modern set of web protocols and the infrastructure will be able to scale and meet the demands of the campus moving forward.</span></p><br><p><span>To help prepare for this transition we have been working with OIA to test compatibility between the main website as well as some of the departmental websites hosted on the main campus web server. <Title>6-9-2015 RT update</Title>

    <div class="html-content">I would like to share a few updates to the RT community.<br><br>First I would like to encourage you to look at this <a href="http://my.umbc.edu/groups/doit/news/52208" rel="nofollow external" class="bo">DoIT success story</a>.  Financial Aid leveraged the RT front-end form for their Walk-In requests to manage New Student Day. <br><br>The department of Mathematics and Statistics, led by Dr. Nagaraj Neerchal and Maggie Kennedy, have joined the RT community in full fashion by managing external (parents, prospective students, etc.) and internal needs (Faculty, Students, Staff) requests. <br><br>The department of Physics, led by Paul Ciotta and Erik Crowe, are now using RT for their internal IT support as well as managing key request.<br><br>The College of Natural and Mathematical Sciences (CNMS) and the Academic Affairs Other Units (AAOU) will begin leveraging RT for some of their Shared Services activities.<br><br>There are several other groups expanding their use of RT to refine their business processing and operations.  <br><br>Just the facts:<br>--------------------------------------------<br><blockquote><blockquote>Feb 2009 UMBC introduces RT<br>572,581 Tickets<br>236        Queues<br>675        Support staff, <br>251,940 Non-support access<br>---------------------------------------------<br></blockquote></blockquote><br>Lastly, I will be asking RT coordinators from each area to participate in testing an upgraded version of RT. If testing goes well I anticipate the new version will be in place by August. The current version 4.0.21 will be upgraded to 4.2.11 which has been out for a while and considered very stable. <Title>Locating Our Confidential Data</Title>
<Tagline>Identity Finder is being installed to help reduce our risk.</Tagline>

    <div class="html-content"><div><span>In an effort to try and detect confidential data on university-owned systems and reduce the risk that UMBC will be the source of a data breach, UMBC has worked with the university system to purchase a program called Identity Finder.  Identity Finder is a program that runs in the background on computers and looks for information like SSNs and credit card numbers.  The program will make a list of the files that contain this information, but will </span><strong><u>not</u></strong><span> modify or delete the files.  Once we receive the lists of files that possibly contain confidential data, we </span>will<span> work with each machine's owner to </span>determine<span> how to best manage data.</span></div><div><br></div><div>We have been running the program, for almost a year, in the departments that process and store SSNs and credit cards as a standard part of their business.  Starting this week, we are pushing the program out to all centrally managed UMBC machines.  The software will be installed automatically on each system, through Active Directory,  and members of the UMBC community should not need to do anything.  If anyone sees an impact from the installation of Identity Finder or has any questions, they should contact the DoIT Technology Support Center at x53838.  </div><div><br></div><div>Mark Cather</div><div>DoIT / UMBC</div><div><br></div></div>

<Title>iPads Elevate New Student Day at UMBC</Title>
<Tagline>How technology enhanced one of the busiest events on campus</Tagline>

    <div class="html-content"><div>UMBC is always busy on New Student Day with several events happening throughout the day. Before any of that can happen, both new students and parents need to first sign in. This year, the Office of Financial Aid and Scholarships used iPads to enhance the experience for parents and new students, creating a new and improved process. </div><div><br></div><div>In the past, parents had to stand in long lines and used a ticket system. Now, with RT powering the login system on the iPads, parents could skip the long lines and ditch the ticket system. Colleen Lindbeck, Associate Director at Office of Financial Aid and Scholarships said “We had greeters to help families login to the iPads,” [with the] signup screen up and ready,” </div><div><br></div><div>Parents did not pass around one iPad; Lindbeck says there were 3-4 tablets at a time being passed around, preventing a backup of people from logging in. “Families were very receptive to it, we got good feedback.”</div><div><br></div><div>This is just one example of how iPads can help enhance events and not detract from them. The whole process overall creates no paperwork to manage and everything is automatically tracked digitally.</div><div><br></div><div>Imani Smoot, a student assistant on New Student Day, had nothing but praise for incorporating iPads. “I loved using the iPads for New Student Day. It was a lot more convenient and organized than the previous system we used,” said Smoot. “I also think parents and students were receptive to the use of the technology as well.”</div><div><br></div><div>Smoot knows first-hand what the previous system was like, and the difference is night and day. Before assisting for New Student Day, she helped prior years as a greeter. Smoot said “The process this year went much smoother with the use of the iPads when compared to last year. I feel like the iPads made it so that me and the other workers had more flexibility and control over the process as well.”</div><div><br></div><div>Next year, Lindbeck plans on using iPads again, with more training for staff and the possibility of adding even more iPads for parents and students to use. “I was extremely happy with the outcome, feedback, and how smooth the process went.”</div><div><br></div><div>Smoot echos that same feeling, and said “I would hope that we would never have to go back to the old system after trying this new iPad system. It was overall, much more efficient.”</div></div>

<Title>UMBC Now Offers Microsoft Office</Title>

    <div class="html-content"><div><br></div><div>In addition to online access to all Microsoft Office products, including Word, PowerPoint and Excel, UMBC students, faculty and staff now have access to 1 Terabyte of cloud storage through Microsoft Office 365 and its related OneDrive.</div><div><br></div><div>Office 365 offers both the traditional downloadable software and a browser version. Simply login to my.umbc.edu and you’ll see a small grid panel next to the mail icon to access all your apps. From there, just select Office 365 and you are automatically redirected. You can also go to the site directly by typing <a href="http://my.umbc.edu/go/office365" rel="nofollow external" class="bo">http://my.umbc.edu/go/office365</a> into your browser.</div><div><br></div><div>Damian Doyle, Director of Enterprise Infrastructure and Support, noted how the campus makes great use of the Microsoft Office suite currently. Previously though, it was only licensed to faculty and staff and heavily discounted to students. Now, everyone has access to it on whatever device they want wherever they want, whether on the web or locally. </div><div><br></div><div>“Since Office 365 can be accessed through any web browser it also allows people to utilize the applications on more devices without having to remember to patch and update their software,” says Doyle. “You can also download the stand alone programs from the Office 365 website if you would prefer to have it installed locally or if you will need to run them at times when you don't have an Internet connection.”</div><div><br></div><div>Also included is 1 Terabyte of storage on OneDrive, so you can open any file from any device directly through Office 365. </div><div><br></div><div>Students are already beginning to discover how useful these tools are. “This is huge as I have put all my college documents on there, music, pictures, etc.,” says Bryan McLean, a junior Information Systems major, who has been using OneDrive storage already. “Not to mention, who doesn’t like 1TB of OneDrive cloud storage?”</div><div><br></div><div>McLean is also an advocate for SharePoint, which comes included with Office 365. “With UMBC now allowing students to participate in SharePoint, not only are they getting access to the same tools available to major businesses, corporations, and government agencies, but now everyone has access to MS Office,” says McLean. “So now it doesn’t matter if you have a Mac or PC, you have the same tools.”</div><div><br></div><div>Going forward, Doyle also wants to continue to provide more tools for UMBC faculty, staff and students. “DoIT realizes no one solution fits everyone, we are trying to give people tools to get their work done, whether it's Google Docs, Office 365, the Adobe Suite, we want people to have options and use whichever tool fits what they are trying to do,” Doyle said “If they aren't sure, please don't hesitate to ask, we are more than happy to work with people to try and help them utilize these technologies.” </div><div><br></div></div>

    <div class="html-content"><span>The <a href="https://help.blackboard.com/en-us/Learn/9.1_2014_04/Instructor/110_Tests_Surveys_Pools/010_Create_Tests_and_Surveys" rel="nofollow external" class="bo">online assessment tool</a> in Blackboard can be utilized to facilitate meaningful and memorable learning activities for students. These online assessment tools include: surveys, tests, and quizzes. Instructors can set up options for how and when assessments are deployed, and can also include exceptions. <a href="https://help.blackboard.com/en-us/Learn/9.1_SP_12_and_SP_13/Instructor/000_Product_Updates/SP12_New_Features/Test_and_Survey_Options" rel="nofollow external" class="bo">Test Exceptions settings</a> are located on Test/Survey Options</span><span>page during the assessment set up process. These settings allow instructors to select either one student or groups of students and make a number of exceptions to the already established availability settings.
