How Undergraduate Admissions Migrated to Duo
Tips for ensuring a smooth migration
Andrew Gribben (pictured at right), Specialist in Undergraduate Admissions and Orientation, recently helped assist his colleagues in switching to Duo two-factor authentication as part of DoIT’s upcoming two-factor authentication requirement for faculty and staff with Peoplesoft access above “self-service” functions such as timesheets, etravel requests, etc.
Andrew demoed Duo during a staff meeting including having someone sign up in real time. He helped ease the transition to Duo by making himself available to walk staff through the sign-up process, as well as, answer any of their questions. When asked about what helped his group the most, Andrew says he targeted those who were skeptical or concerned before the rollout to the entire group. "This helped ensure a smoother process overall."
To help make sure your office’s rollout goes smoothly, Andrew and DoIT recommend the including the following to help your department’s rollout go smoothly:
Demo Duo live to show not only how it works but how to sign up.
Leverage the Duo FAQ collection to help users
Send out email reminders encouraging users to sign up.
Be available to offer 1 on 1 support to staff if necessary.
Once again, DoIT strongly encourages all faculty and staff to enable Duo 2FA now, but all employees with PeopleSoft access will be required to do so (staff by 12/31/18, faculty by 9/1/19). After these dates, DoIT will automatically enroll required employees into Duo. DoIT will also provide a “count-down” weekly reminder 90 days before the relevant deadline.

Quarterly patching downtime on 5/25 & 6/2
As part of our ongoing commitment to security, the Unix Infrastructure group will be conducting its quarterly system patching on Friday, May 25th and Saturday, June 2nd. While many of the systems will be patched without any service disruption, there are some systems which require the downtime of key services. The schedule below outlines which key services will be offline and for how long.
Friday, 5/25/2018 between 5pm and 8pm (most systems will only be down for a short period during this time):
- The web hosting environments (virthost and jabba) will be partially unavailable (pages will be available but any database calls will not work)
- Access to Cyrus and UMBC Webmail (accounts not migrated to UMBC Gmail)
- All mail will be queued up and delivered after the server is patched
- Expected to be unreachable from 5pm to 7pm
- All HFS (user) servers will be offline
- Certain software licenses will be unavailable (autodesk, cadence, idl, schrodinger, xilinx, mathematica)
Saturday, 6/2/2018 between 9am and 11am(most systems will only be down for a short period during this time):
- myUMBC lite page will be up resulting in reduced myUMBC functionality
- Wiki will be unavailable
- The sites (wordpress) web hosting environment will be unreachable

DoIT's Dustin Roddy Receives UMBC Athletics' Gritty Award

During its annual "Gritty Awards" last Wednesday, May 7,
UMBC Athletics went "off script" and surprised DoIT's
Dustin Roddy, by awarding him the
2017-18 Leon Upshur Memorial Award for "outstanding service to UMBC Athletics." Upshur was a much-loved equipment room supervisor for more than 20 years, who "asked for and received very little fanfare" said Sports Information Director
Steve Levy. "He simply got the job done quietly and efficiently."
"I was completely shocked," says the

Bb Dashboard Upgrade to Ultra Version Scheduled for May 25
Finding courses will change, but not their appearance
Related FAQ - Where is my summer course after the Ultra Experience upgrade?
Blackboard's navigation to courses will be upgraded on Friday, May 25, 2018 beginning at 3 PM EST as part of DoIT’s routine Blackboard maintenance. This upgrade will modernize the overall dashboard with the new Ultra Experience base navigation.
Important: Courses will NOT change in appearance or functionality.
No downtime is expected, but the login page located at blackboard.umbc.edu will be temporarily unavailable while it is also updated by DoIT. Faculty, staff, and students can still log into Blackboard by clicking on the Blackboard icon via myUMBC or going to my.umbc.edu/go/blackboard.
Once the Blackboard upgrade is complete, please clear your Internet browser cache and cookies before logging in using these step-by-step instructions.
How does the Ultra Experience change Blackboard for faculty & students?
Redesigned Dashboard - Upon logging into Blackboard, faculty and students will notice a new look for Blackboard. Central site navigation for courses, organizations, tools, etc. is relocated to the left menu and there are no more tabs at the top. Your name, user profile, and personal settings will also appear in the left panel.
Activity Stream - The activity stream captures all the up-to-the-minute action in your courses.
You will also see links for grades, calendar, messages, and global tools. Courses will open in a layer over the base navigation. Please see our FAQ collection and glossary about the Ultra Experience.
What is the timeline for the Ultra Experience at UMBC?
Faculty and students should expect no other changes to their courses at this time. However, the Ultra Experience is an innovative, learner-centric redesign of Blackboard and UMBC recognizes the change in course interface will take some time to get used to. Training and course redesign support will be available to faculty until the projected final rollover to Ultra in FA2019.

Spring StudyTree Pilot Continues in 2018-19
UMBC's Division of Information Technology (DoIT) partnered with the Learning Resource Center (LRC) and several faculty members during the Spring 2018 term to pilot an artificial intelligence (AI), phone-based app called StudyTree. Among other things, StudyTree can help students find and form study groups with classmates, connect with campus tutors, and receive feedback from an AI digital “coach” called Leon to get and stay on track for academic success.
During this initial deployment, the application garnered approximately 1,100 active users – approximately 10% of the undergraduate population – and a majority of an informal poll in CHEM 102 “Introductory Chemistry” indicated they would be interested in trying this technology in future academic terms if it were available. The good news? It will be!
DoIT is continuing the StudyTree pilot through the 2018-19 academic year. It is free to all students and faculty. Please contact Tom Penniston if you are interested in learning more about adopting this app to support your students.

TechSmith Relay to be Discontinued 12/31/18
TechSmith, makers of our self-hosted instance of TechSmith Relay, has announced it will no longer support a self-hosted version of its software. As such, the current institutional solution for screencasting, will be reaching its end of life on December 31, 2018. To address the campus need for a screencasting solution, DoIT will be replacing TechSmith Relay later this summer. Upcoming trainings and FAQ links will be posted with the announced roll-out of this tool to the campus community.
