DoIT Data Center Successfully Moved

As previously announced, on Monday, September 24th DoIT staff began moving over 68 servers, storage arrays and other associated equipment from the Public Policy data center to the new Erickson data center located in the Research Park. This project involved a significant amount of engineering and planning to ensure the appropriate power, racks, networks and cabling were in place where needed in advance of the hardware being mounted. Network staff spent months working with the construction company renovating the space and also with the professional movers to coordinate the move. Within DoIT the Networks, Windows and Unix groups spent weeks designing and ensuring the appropriate placement of hardware, cabling and networks in the racks.

Services Moved to Erickson Data Center
Peoplesoft Finance Development
Peoplesoft Campus Solutions Development
Blackboard Development & Production
I-Strategy (T-REX)
Cyrus Mail Servers
Authentication Services
VMware Virtual Server Environment
Windows File Shares
Windows Active Directory
150 Terabytes of Network Storage
Campus Tape Backups
New Network Core
Web Infrastructure
Many more that are too numerous to include.....

I am pleased to announce that all of this planning made the move transparent to the campus community and ensured a relatively low stress move for the DoIT staff. I would like to thank all of the staff involved in this project. Every group within DoIT played a role in this move and we would not have been successful without every staff member's commitment to success.

While there were many involved there are a few staff that I would like to specifically recognize for their major contributions to this successful move. These staff spent weeks of time preparing and engineering the project in addition to their other duties. I also want to recognize several of our student staff members who spent dozens of hours running and configuring over 200 network cables and over 60 fibre cables.

Stand Out Staff
Networks:
Damian Doyle Assistant Director Networks
Carlos McKinney Network Engineer
Aaron David Network Intern
Karen Dickens Network Intern
Tabitha Haverkamp Network Intern
Erick Knapp Network Intern
Kevin McCormick Network Intern

Enterprise Infrastructure:
Tim Champ Senior System Administrator
Vladimir Plotkin Coordinator of Windows Systems
James Sonnichsen Windows Administrator

Please join me in thanking all the staff involved.

Michael Carlin
Associate VP & Deputy CIO

DoIT Announces Changes to Scantron Test Scoring Process

<Tagline>Exam Drop-off is now in ENGR 101</Tagline>

DoIT has recently made some changes to the Scantron Test Scoring process. The two most notable changes are the following:

Jim Keys is now located in ENGR Bldg suite 101

For security reasons DoIT is no longer emailing the test result file(s) to instructors; instead, test results will be posted in the File System of the corresponding Blackboard course

Drop Off of Exams:

Exams may be dropped off with Jim Keys on weekdays between 9 AM and 4:30 PM in the ENGR Bldg suite 101. You must have the answer keys filled out correctly, aligned in the same direction, and include a "Testbook Form" cover sheet. See this FAQ to download a copy of the cover sheet, and for answer key instructions. Please make sure to remind your students that they must fill out the Campus ID section of the exam answer sheet correctly. In the event that Jim is not available, any of the Instructional Technology full time staff members can take the exams and create an RT ticket for you indicating exam drop off. Alternatively you may use the after hours secure exam slot outside ENGR Bldg room 004. You must place your exams in a campus envelope and include a "Testbook Form" cover sheet. Envelopes and cover sheets are available on the door to room 004. After depositing your exams in the exam slot, please submit an RT ticket indicating that you have done so. We suggest a standard subject line such as:

Scantron Exam: [course] [semester] [instructor] or

Scantron Exam: PSYC 100 FA2012 Jones

Exams dropped off after hours will be retrieved the following morning. Jim will check to see if a corresponding RT ticket was created for each exam he retrieves. If not, he will create one. Scantron exams will be scored within two business days of RT ticket creation date.

Exam Results:

You should expect your exams to be scored within 48 hours of the RT ticket creation date & time. Once exams are scored, the resulting electronic file(s) will be placed in a folder titled "Scantron" in the File System of the corresponding Blackboard course. Reminder: By default, DoIT creates a Blackboard shell for every course in the Schedule of Classes, but it remains unavailable to students until the instructor of record makes it available. As such, only instructor(s) of the Bb course will have access to the course and the Scantron file folder. Please see this FAQ article for directions on locating and retrieving the test results from your Bb course.

Notification:
Once the scored Scantron files have been added to the Bb course, the RT ticket will be resolved and you will receive E-mail notification. In the RT ticket resolution message, we will include information on how to locate the test results in your Bb course, and how to upload Scantron grades into your Bb grade center. After you have been notified that the ticket is resolved, you may pick up the exam answer sheets, and corresponding print out from Jim Keys. Any exam answer sheets not picked up by the start of the next semester will be destroyed.

New Voice-over-IP (VOIP) Phone System Being Evaluated

<Tagline>New cloud based phone service - Connect anywhere at anytime</Tagline>

UMBC is one of the evaluation schools testing a new voice-over-IP (VOIP) service that is being launched by Internet2. This new service allows us
to have our phone system in the “cloud.” The session initiation protocol (SIP) service has many more features than our present telephone switch supports and includes the
ability to make phone calls from a VOIP phone, computer or to have voice mail sent to
    your inbox.

Our goal is to evaluate this service over the fall semester. If it works as
we expect, we will look at some limited deployments in the
spring 2013 -- the first target is the research park and Columbus Center. We
will then evaluate this with these few departments in 2013 and look at
this as a possibility for additional deployment on campus in 2014.

A major benefit for UMBC is that our present phone system is now over
twenty years old and the company that manufactured it, Siemens, no
longer provides support for these telephone switches. UMBC would like to
move to improve the options we provide departments for phone support
but to date the capital costs of upgrading have been too large to make
this feasible. We are hoping this “cloud-based” phone service lessons
the complexity and one-time cost of upgrading.

DoIT Deploys New Virtual Desktop Solution

<Tagline>Connect to a Lab Image from Any Device and From Anywhere</Tagline>

UMBC has partnered with Dell and the University System of Maryland (USM) to develop a virtual desktop solution. The new environment is based on a Dell solution named Virtual Desktop Environment (VDE). You can now connect to a standard UMBC computer lab image from your Mac, PC or even your iPad. This allows students to gain access to licensed software that would normally require them to visit one of UMBC's labs. Now students can access software like SPSS, SAS, Matlab, Comsol, Mathematica etc. using their own device. The only requirement is the personal device should have a good internet connection.

How do I access the VDE system?
Simply visit virtual.umbc.edu using one of the recommended web browsers.

How do I remotely connect to a computer lab?

Need Help?
During the pilot phase of this solution you can send an email to vde@umbc.edu This will create a ticket and assign it directly to our internal VDE queue in RT. Alternately you can submit a ticket.

UMBC Signs Contract to Deploy Box.com For File Storage

We are living in a world where people work from multiple devices -- phone, laptop, and computer - and need access to their files anywhere and anytime. UMBC’s active directory (AD) system serves the campus well but it doesn’t provide the level of flexibility for mobile devices and off-campus access that people need.

The higher education community, through an initiative by Internet2, has worked with a company named Box.com to provide a service that we believe will meet our needs and is secure. DoIT has signed an agreement to bring the Box.com service to UMBC and we will launch this in late-September once we intergrate our single-signon.

Students, faculty, and staff will be allowed to have web-based storage that they can use their myUMBC login to access. Files can be easily shared with others on campus and off-campus. You can even send a user a “URL” that allows someone that doesn’t have the Box.com service to access the file.

One of the nice features of Box.com is that is has great support for collaboration. It integrates well with Google Docs and we feel that faculty research groups will love the flexibility this provides in sharing data with other members of their research team.

Our plans for launching this service are to do a limited launch in the fall inside DoIT and to faculty and staff that want to be early adopters. We will make this service available to everyone, including students, in the spring. During the spring we will identify departments that need more flexibility for shared file storage than AD provides and transition them over to the Box.com offering.
