<Title>Reminder: Early Time Sheet Approvals &amp; Time Entry (3/11/24)</Title>

    <div class="html-content"><p><span>Good Afternoon!</span></p><p><strong><br></strong><strong>*CRITICAL INFORMATION - </strong><strong>Please share this information with your departmental employees as it contains important action items*</strong></p><p><span><strong><u>I. Time sheet submissions and approvals:</u></strong></span></p><p><span><em>Note: ETS refers to Electronic Time Sheet</em></span></p><ul><li><span>Due to the upcoming spring break (3/18 Through 3/20) the HR/Payroll and HRIS units are required to meet strict payroll processing deadlines. As a result, the deadline for time sheet approvals has been impacted for the time sheets ending 3/09/2024. </span></li><li><span>Time sheet submissions </span><strong>and</strong> approvals for <strong>pay period 2024-19</strong> (ending 3/09/2024) are <strong><u>due by 9:00 am on Thursday, March 14, 2024</u></strong><span>.  Time sheet approvers must coordinate with their employees to ensure time sheets are submitted in enough time for review and approvals. Time sheet approvers who will not be available to review and approve time sheets should communicate with alternate approvers accordingly.</span></li><li><span>Late time sheet submissions and approvals will have a critical impact to hourly employees' pay and employees earning overtime in Time Entry for PR20.  Time sheet data for pay period 19 must be approved in order to load into Time Entry for payroll 20. </span></li><li>To avoid a high volume of Time Entry Correction forms or potential advance requests, please review ETS that are in a submitted status and follow-up with the ETS approver (primary or alternate) before the noon ETS deadline on March 16th.</li><li>Payroll Preparers have access to view submitted but not yet approved ETS. To view this information, please navigate to: <span> </span><em>UMBC Time and Leave Processing &gt; Employee Time Sheets &gt; Dept Time Sheets</em>.  Then filter on the time sheet status of "<em>Submitted</em><span>."</span></li><li>Payroll Preparers who are not familiar with the ETS approver may review the Employee-Supervisor/Alt Set-up screen by navigating to:<span> </span><em>UMBC Time and Leave Processing &gt; Employee Time Sheets &gt; Employee-Supervisor/Alt Set-up</em></li></ul><p><span><strong><u>II. Time Entry for PR20:</u></strong></span></p><ul><li><span><strong>12 noon, Thursday, March 14, 2024</strong> - PR20 time entry is scheduled to open at 12 noon. All approved ETS data will load into time entry.</span></li><li><span>Once Time Entry is open, the burst reports will be available.  Preparers will see a submitted time sheet PDF that displays employees' ETS that were submitted but not approved.  If there are employees listed on this report, notify the approver for approval and then make edits in Time Entry to leave, hours and pay adjustments.  The Time Sheet needs to be approved to ensure these are accurate time sheets to enter.  NOTE: Preparers will need to back this data out of the time entry cycle to avoid double processing.</span></li><li><span><strong>12 noon, Friday, March 15, 2024</strong><em> - </em>Time Entry will close at 12 noon. </span></li><li><span>The preliminary gross pay report will be available later in the afternoon following the 12 noon TE closure.<br></span></li><li><span>PR Adjustment forms will be due <strong>12 noon, Friday 03/15/2024</strong>.<br></span></li><li><span>Time Entry Corrections will be due <strong>12 noon, Thursday 03/21/2024</strong>.</span></li></ul><div><div><div><p><strong><u>All questions please submit a GI ticket:</u></strong></p><p><strong><u><a href="https://aaoussc.umbc.edu/aaou-rt-tickets/">https://aaoussc.umbc.edu/aaou-rt-tickets/</a></u></strong></p><div><br></div></div></div></div></div>

<Title>General Inquiry Queue Tips &amp; Reminders *Please Read*</Title>
<Tagline>Ticket Rejections &amp; Guidance on Resubmitting Tickets</Tagline>

    <div class="html-content"><span><div>Greetings!</div><div><br></div><div>As we enter a new month, the AAOU SSC Team have a few reminders for our RT system, particularly the General Inquiry queue.</div><div><br></div><div>The General Inquiry (GI) queue should be used anytime a department or individual has any question regarding processes currently handled by the AAOU SSC.<strong> <u>You should</u></strong><strong><u> not use the GI queue to submit requests that have a dropdown selection in our RT menu. </u></strong>Moving forward we will reject these tickets and request that you resubmit the ticket with the proper dropdown selected. If you have questions on how to submit a ticket you can submit a GI and we can walk you through that process, but please do not use the GI queue as a substitute for selecting the proper dropdown.  </div><div><br></div><div>We would also ask that if departments have a question about a ticket that is currently in progress, they should post a reply to the actual ticket rather than submitting a GI. This helps to ensure the question goes directly to the person who is processing the ticket so they may respond in a more timely manner. An exception to this would be if you have not heard from your processor in over 3 days after posting a question in the original ticket. We then encourage the departments to reach out to us via the GI queue to let us know that there has been a lull in communication and we will see to it that your question is directed to the proper channel. </div><div><br></div><div>Finally, moving forward any ticket that contains multiple errors will be <strong>immediately rejected.</strong> We will respond to those tickets with guidance on how to resubmit the ticket correctly, but we will require a second ticket submission. This is not only important for auditing purposes, but will also allow our business specialists to process your tickets quickly and efficiently. We encourage you to reach out to us via a GI ticket if you are uncertain on how to move forward with a ticket submission and one of our team members will be happy to walk you through the process and the required supporting documentation.</div><div><br></div><div>It is always best to reach out to us beforehand to ask questions on how to accurately and completely submit your RT request and obtain guidance from us before submitting the ticket incorrectly or with missing information--submitting the ticket correctly the first time will prevent rejections, duplication of effort, and processing delays. </div><div><br></div></span><span><div><strong>If you have any questions, comments, or concerns please submit a GI ticket here:</strong></div><div><br></div><div><a href="https://aaoussc.umbc.edu/aaou-rt-tickets/" rel="nofollow external" class="bo">https://aaoussc.umbc.edu/aaou-rt-tickets/</a><br></div><div><br></div><div>Have a happy Friday and great weekend!</div><div><br></div><div>-AAOU SSC Team</div></span></div>

    <div class="html-content">Good Afternoon,<div><br></div><div>Due to the upcoming winter holiday break and early file submissions to the Central Payroll Bureau, the Payroll and HRIS units are required to meet strict and compressed processing deadlines. As a result, the deadline for timesheet approvals has been impacted for the period ending 12/16/2023 (timesheets for pay period 2024-13).</div><div><br></div><div>Timesheet submissions <strong>and</strong> approvals for <strong>pay period 2024-13 </strong>(ending 12/16/2023) are<strong><u> due by 5 pm on Monday, December 18, 2023.</u></strong> Although timesheets may be submitted early, the approver may NOT approve the timesheet before the pay period has ended (not prior to December 17, 2023). </div><div><br></div><div><u>Due to the extremely tight ETS approval deadline,</u> timesheet approvers must coordinate with their employees to ensure timesheets are submitted in enough time for review and approvals. Timesheet approvers who will not be available to review and approve timesheets should communicate with the payroll preparer and alternate approver accordingly. </div><div><br><div><strong>Late timesheet submissions and approvals will have a critical impact to hourly employees' pay, employees earning overtime, and leave information in time entry for PR14. <Title>ATTN: Banked Holiday Reminder!</Title>

    <div class="html-content">Good Morning,<div><br></div><div>This is a reminder from the AAOU SSC that any new employees who started working <em>after</em> the first banked holiday (Presidents Day) will need to <strong>plan to use personal or vacation leave for any banked holidays in which they were not yet employed with the University. </strong></div><div><br></div><div>It is very important timesheet approvers review all timesheets for accurate recording of leave during the winter break especially for employees hired this calendar year that may not have banked all holidays that are used during UMBC's winter break closure.</div><div><br></div><div>Below are the three banked holidays. The first date listed on the left hand side is the date we observe them during winter break, and the date to the right of the holiday is the actual date of the holiday in which the employee would have needed to be employed on or before in order to bank that holiday for use during winter break:</div><div><br></div><div><img src="https://my3.my.umbc.edu/groups/aaoussc/posts/137711/attachments/49902" style="max-width: 100%; height: auto;"></div><div><br></div><div><em>Example:</em> Presidents Day 2/20/23 was our first banked holiday of this calendar year.
