The AAOU SSC is implementing a new process for submitting questions to our staff. Starting on Monday, 4/11/2022, you should be able to see a new drop down option on our RT page for "General Inquiries" which will be replacing our shared mailbox. Please use this new drop down option to submit questions to our staff as you would the shared mailbox, and if you need to reference any RT tickets that are open, please make sure to provide the RT number as a reference. 

As well, we have noticed several instances of previously resolved tickets being reopened by department members, requesting new or further actions be taken. It is crucial to our process that a new ticket is being submitted for each request, so we can ensure proper tracking and ownership of the request. The AAOU SSC occasionally needs to redistribute department servicing assignments to our staff to compensate for large volume periods. If previously resolved tickets are reopened, and the owner of the original ticket is no longer servicing your department, your request is highly likely to get missed. If you have questions about previous tickets, please submit a general inquiry ticket, referencing the original RT number.

Finally, the AAOU SSC has several staff members attending a conference on April 28th, and in order to allow them time to attend the conference, we are moving the PR2022-024 ticket deadline from 4/26/2022 to COB Thursday, 4/21/2022. If we do not receive your request by this time, we cannot guarantee we will be able to process your request timely. The updated deadline calendar shows the update and can be found on our website.

Subject:  Open Meeting Invitation, Punch Out Vendor Processing

Good Afternoon,

On December 10th I first notified our campus community of the challenges we were having in getting our punch-out vendor invoices processed.  Specifically, we were seeing many of these vendor invoices stuck in process as "no receipt."

For all of you who have worked so hard to help us resolve these issues I would like to commend you on your efforts and offer you my sincere appreciation.  As of today our backlog looks much better than it did in mid December.

 

We still have over 250 items stuck in a mismatch status over 45 days old, so although we have come a long way, our work is not done.  

For those of you who may still be having issues identifying your invoices in PAW or perhaps having issues processing "receipts" correctly.  I am holding two open meetings and would invite you to feel free to join us and ask any questions you may have.

The meetings will consist of a demonstration of how to search the PAW system for your invoices, download your PAW data, and the correct way to process a receipt against those invoices.  We will also be open to questions if you have them.

Please find the updated version of the FY22 AAOU SSC HR Paperwork Deadline calendar, through June 2022, linked below. Please replace any existing versions of the deadline calendar you have, with this one moving forward.

Please review the updated deadline calendar thoroughly to familiarize yourselves with the upcoming deadlines.

RT tickets for any new hires requiring complete onboarding paperwork (not currently active on UMBC payroll in any department, and have not been active on UMBC payroll within the last three (3) years from the date of hire for the new position), will need to be submitted at least two weeks ahead of the listed deadline associated with their start date. This is to ensure enough processing time, for SSC staff to initiate the hiring process, and for the new hire to complete and return all paperwork and supporting documentation by the deadline listed that is associated with their start date.

This is a friendly reminder to be mindful of our AAOU SSC deadline calendar, which can be found on our website, as you are submitting RT requests. It is vitally important that requests get submitted in a timely manner, so that we can ensure that all necessary paperwork is being processed and submitted to the respective central office ahead of their deadlines. If the AAOU SSC deadline calendar is not being followed, we cannot guarantee that paperwork will be processed on time, which can result in UMBC not being in compliance with certain state and federal laws. 

As such, effective immediately, if RT tickets are submitted, for which the relative AAOU SSC deadline has passed, we will be requiring a memo explaining why the deadline was missed and what steps are being taken to prevent future deadlines from being missed. The memo must be signed by the department approver and attached to the related RT ticket as supporting documentation before the ticket will be processed.
